Job Summary
Under direction, is responsible for performing a variety of responsible legal secretarial and general clerical duties in support of the City Attorney's Office. Working conditions are primarily in an office environment. Exercises no supervision.

Essential Job Functions
Performs legal secretarial duties for the City Attorney's Office.
Takes and transcribes a variety of correspondence and legal documents, including resolutions, ordinances, legal opinions, contracts, briefs, leases, and agreements.
Takes minutes during various meetings.
Prepares and processes correspondence, legal papers, and documents requiring knowledge of legal format, terminology, and procedures.
Maintains Attorney calendars and records follow-up trial dates, action dates, and deposition of cases.
Interprets City policies, procedures, laws, and regulations in response to inquiries and complaints and refers inquiries as appropriate.
Researches, compiles, and analyzes data for special projects and various reports.
Indexes and files legal documents, correspondence, and reports.
Compiles and assembles various legal materials, form files, and other sources for the City Attorney's use in providing legal assistance and in preparation of other legal documents and opinions.
May notarize documents for assigned attorneys, including documents needed for litigation, EEOC affidavits, lost paychecks, and deposits.
Performs related duties and fulfills responsibilities as required.
Job Requirements
High School Diploma or GED equivalent (recognized by the Texas Education Agency or a regional accrediting agency).
Two (2) years of increasingly responsible legal secretarial experience.
Preferred Qualifications
Experience and understanding of legal terminology, procedures and practices.
Strong typing and organizational skills.
Experience with case management software.
Applicant Information
Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is defined as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.

Knowledge of legal terminology and the forms and documents used in legal secretarial work.
Knowledge of legal procedures and practices involved in composing, processing, and filing a variety of legal documents.
Knowledge of methods of research and sources of legal information.
Knowledge of standard legal references and their contents.
Knowledge of English usage, spelling, grammar, and punctuation.
Knowledge of modern office procedures and methods.
Knowledge of principles and techniques of business letter writing and basic report preparation.
Knowledge of principles and procedures of record keeping and reporting.
Ability to operate a computer keyboard and other basic office equipment.
Skill in operating a personal computer and utilizing rudimentary software.
Ability to perform responsible and complex legal secretarial work involving the use of independent judgment and personal initiative.
Ability to learn the court system, legal procedures, and rules governing the State of Texas.
Ability to independently prepare routine legal documents, correspondence, and memorandums.
Ability to work independently in the absence of supervision.
Ability to analyze situations carefully and adopt effective courses of action.
Ability to maintain confidential data and information.
Ability to establish and maintain effective working relationships with City staff and the general public.
Ability to communicate clearly and effectively.
