Job Summary
The Distribution Services Clerk is responsible for the receipt, inspection and distribution of inbound mail, intercampus mail, parcels and freight for San José State University. The distribution of the inbound materials will be to the Main Campus, South Campus, and specific Off-Campus locations. The Clerk is also responsible for picking up outgoing mail and parcels from these same locations and processing the shipments and mailings using various department resources. Additionally, the incumbent will track and enter various mail room transactions, assist with coordinating the daily workflow and field questions from the campus community, external vendors, freight companies, etc. The Clerk will also provide warehouse coverage during operational hours, when needed.
Key Responsibilities
Inspect materials for damage and proper delivery address
Receive materials by using established protocols
Process and prepare mail and parcels, including sorting and loading, according to delivery routes
Sort and distribute intercampus mail
Ensure that materials are securely stored, kept and transported
Deliver materials, acquiring signatures where necessary
Print delivery manifests, when required
Track and reconcile undelivered items
Pick up outgoing items from on and off campus locations
Stage items for carrier pickup
Use online carrier websites to process outbound shipments
Use metering system to process outgoing mail and parcels
Utilize tracking, postage meter and carrier shipping systems
Drive an electric cart, forklift and/or street vehicle to deliver and pick up shipments on and off campus
Operate common warehouse equipment
Document various mail transactions for billing purposes
Provide quality customer service to the campus and external communities regarding the department's services
Research and resolve issues related to department services
Assist in guiding and training students with department procedures
Inform the appropriate administrator of any issues that affect the operation of the department (e.g. equipment issues, late carriers, etc.)
Knowledge, Skills & Abilities
Ability to communicate with constituents in a professional and respectful manner
Strong knowledge of general warehousing procedures
Awareness and understanding of tracking systems and the need for traceability
Ability to match names and numbers quickly and accurately
Ability to lift 50 pounds, unassisted
Ability to work independently to make minor processing decisions
Ability to be physically able to complete the tasks as assigned
Ability to follow delivery route instructions and sequencing
Ability to professionally/courteously interact with the campus community
Possess a strong knowledge of mailroom operations
Ability to use various software programs and systems
Ability to use a postage metering system
Ability to match and enter numbers quickly and accurately
Awareness of postal and carrier rates and services
Ability to successfully complete the Defensive Driver Fundamentals and Forklift Operation classes
Possess and maintain a valid driver's license
Ability to keep simple records and make simple reports
Ability to use MS Excel to document daily transactions
Ability to operate powered materials handling equipment
Ability to maintain a clean and respectful workplace
Possess strong oral and written communication skills
Ability to participate in all OSHA required physicals and examinations
Must possess a valid California Driver's License for the operation of any vehicle or equipment required for position and in any emergency situation
Ability to provide timely responses to a high volume of requests
Demonstrate a commitment to quality customer service by providing timely responses to a high volume of requests
Ability to establish and maintain cooperative working relationships with students, faculty and staff
Required Qualifications
One year of experience working in a centralized Mailroom/Receiving where the receipt, storage or issuance of material is performed
Direct experience in operating forklift trucks or similar power-operated material handling equipment
License
A valid driver's license is required for this position. Out of state candidates selected for the position must obtain a State of California driver's license within 10 days of hire in accordance with the California Department of Motor Vehicles regulations.
Once hired the employee must successfully complete the Defensive Driver Training Program provided by the State of California for California State University campuses.
Preferred Qualifications
Minimum of 2 years mail room experience
Experience running mail posting equipment
Minimum of 2 years shipping/receiving experience
Experience operating powered industrial equipment (e.g., forklift, electric pallet jack)
Excellent written communication skills

Anticipated Hiring Salary: $3,680/month
CSU Salary Range: $3,680/month - $5,669/month
