Description

Robert Half is seeking a meticulous Administrative Assistant for our client in Baton Rouge, Louisiana. This is a short-term contract to full time position, offering an excellent opportunity for growth within a dynamic office environment. The ideal candidate will provide essential administrative support, ensuring smooth daily operations while assisting with front desk responsibilities as needed.

Responsibilities:

Provide comprehensive administrative support to the multifamily department, including document preparation, data entry, and maintaining organized records.

Act as a relief for the front desk receptionist during lunch breaks or days off, ensuring a welcoming presence.

Answer and direct incoming calls, addressing customer inquiries and complaints with efficiency.

Manage vendor and tenant requests, maintaining positive relationships and ensuring prompt resolution of issues.

Submit invoices for reimbursement purposes and handle detailed transactions with accuracy.

Oversee office equipment such as scanners and printers, including ordering supplies and performing basic maintenance like changing toner.

Assist with billing sheets and templates, ensuring all information is accurate and properly formatted.

Coordinate office needs, including inventory management and ordering necessary supplies.

Utilize Microsoft Excel and Word for administrative tasks and reporting purposes.

Support property management activities by maintaining documentation and tracking relevant information.

Requirements

Proven experience in administrative roles, preferably within property management or similar industries.

Proficiency in Microsoft Excel and Word, with the ability to create and edit templates.

Strong organization and attention to detail, particularly when handling invoices and billing documents.

Excellent communication skills for interacting with vendors, tenants, and customers.

Ability to handle multiple tasks while maintaining a high level of accuracy.

Familiarity with office equipment maintenance, such as scanners and printers.

Demeanor and appearance suitable for front desk relief duties, with a focus on being detail oriented.

Experience with customer service, including managing complaints and inquiries effectively.
