The newly created first line of defense Financial Crimes Risk & Controls center of excellence will provide a holistic, enterprise-wide approach to our financial crimes risk management (FCRM) activities and will reside within Global Servicing.
This team will be responsible for establishing a robust control foundation for first line of defense FCRM activities across the company globally, including anti-money laundering, sanctions, payments controls, and anti-corruption. The team will partner closely with Technology to develop and deploy next generation capabilities that address key gaps and strengthen the first line's ability to detect and prevent financial crimes across our lines of business. The team will work in coordination with the Global Financial Crimes Compliance (GFCC) team within the Global Risk & Compliance organization.
How will you make an impact in this role?
This is a great opportunity to be part of a dynamic team that leads the Financial Crimes Risk & Controls within Global Servicing (GS). The Executive Assistant will provide administrative support to the Senior Vice President who lead this team. This role is an integral part of the organization. It is a dynamic, high-paced environment and therefore the day-to-day responsibilities require seamless collaboration across a wide-range of business partners across the Company. The ideal candidate should be experienced in handling an array of administrative-related tasks and be able to work independently and confidently under pressure. Building strong relationships, being resourceful, and knowing how to navigate large organizations fluidly will be critical to success in this position.
Key Responsibilities Include
Providing comprehensive calendar management, including scheduling meetings across multiple time zones, resolving conflicts, and prioritizing competing requests
Coordinating and leading all aspects of internal meetings, including reserving space and audio and visual setup and catering as needed
Processing and submitting expense reports accurately and on time, ensuring compliance with internal policies
Supporting on-boarding and off-boarding of colleagues, including coordinating first/final days, and arranging for workspace, laptops, Corporate Cards, office supplies, and HR administration
Managing travel arrangements and itineraries when required
Maintaining headcount reporting, organizational charts, and department distribution lists
Acting as a liaison and point of contact between supported leaders and internal/external stakeholders
Anticipating needs and taking initiative to solve scheduling or administrative challenges before they arise
Assisting in coordinating occasional team events or off-sites
Maintaining confidentiality and handle sensitive information with discretion
Calendar management; scheduling meetings with senior executives, reserving conference rooms, coordinating meeting logistics.
Managing travel arrangements including air, hotel, car transfers and meeting agendas.
Preparing, reviewing, and processing expense reports both timely and in line with the Company's T&E policy.
Supporting team administration including on-boarding of new hires, updating distribution lists, setting up group-wide team meetings.
Managing own e-mails and correspondences in a timely manner.
Assisting with timekeeping and payroll duties.
Maintaining organizational charts.
Ordering workstations, devices and accessories as needed by the team.
Processing invoices and requisitions.
Supporting coordination of special /ad-hoc projects as needed.
Minimum Qualifications
Proven experience supporting leaders in a fast paced and highly matrixed environment
Exceptional organizational skills with proven ability to manage multiple priorities simultaneously with acute attention to detail
Strong interpersonal and networking skills to build and maintain high-impact relationships across all areas of the organization
Desire to understand the goals of the team and the relative importance of various partners and what they do
Strong work ethic, highly self-motivated, and understands the need to be a teammate
Demonstrated ability to remain calm under pressure and be flexible when faced with changing/conflicting priorities
Proven ability to act autonomously in day-to-day activities with the ability to anticipate and prioritize work
Experience with calendar management systems and expense reporting software. Expert proficiency in Microsoft Office Suite, especially Outlook
Outstanding written and verbal communication skills
Proven experience in providing support to Senior leaders with exceptional organizational, administrative, and interpersonal skills. A keen attention to detail and a sense of urgency in execution and follow-up.
Ability to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting and changing priorities with little direction.
A strong sense of integrity with ability to handle sensitive issues and maintain complete confidentiality.
Positive attitude, solutions-oriented, proactive, able to prioritize, and reliable.
Intermediate to advanced computer skills required, including proficiency with Microsoft Office including PowerPoint, Excel, Word and Outlook.
Knowledge of myInfo, Concur Expense & Travel, Ariba Buyer, SharePoint, WebEx, Slack.
Excellent written and verbal communication skills.
Flexibility, ability to work effectively in a team, anticipate needs and seeks ways for leader's organization to run efficiently.
Team player who is dependable, enthusiastic, and has a positive attitude.
Preferred Qualifications
Minimum 1yr of proven experience in supporting senior executives with exceptional organizational, administrative, and interpersonal skills

Salary Range: $24.05 to $48.10 hourly bonus benefits
