Description of Job
Job Summary:
This position provides support to the Facilities Services project team and specifically the Director of Project Management by helping to complete required state project forms, project reports, project record keeping, and helping with the project invoice process.
Essential Job Functions:Project Tracking and Reporting
Assist Director of Project Management and project team with tracking project status in project summary spreadsheets and databases.
Assist Director with creating reports on individual projects or the portfolio of projects for an audience of internal Campus constituents and external community members when needed.
Support project financial payments and tracking including communicating with external contractors and checking coding on invoices.
Responsible for continual updates to campus wide construction schedule
Responsible for coordinating with communications department to update projects webpage with progress and photos taken on site.
Compliance with State Project requirements
Assist Director of Project Management and project team with completion of state paperwork required for state funded projects including project start up paperwork, financial updates, close out paperwork, and annual reports required throughout the year.
Track due dates for project requirements including supporting team members in meeting these requirements through reminders and assistance.
Assist with annual Capital and Controlled Maintenance submission process.
Agency and Department Requirements
Assist team with tracking and completing agency requirements such as annual goal development, updating position descriptions when required, and other requests as needed.
On behalf of Director and department, assist with meeting scheduling, agenda setting, and follow up.
Support inputting and updating projects into project tracking database.
Responsible for distributing and tracking project agreements with institutional project customers.
Check and distribute client invoices to accounting.
Other Duties:
Support the Operations Division with other duties as assigned including but not limited to snow removal, emergency situation support, covering for administrative staff colleagues who are out of the office, and attending meetings for project team members.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Minimum Qualifications:
A bachelor's degree from an accredited college or university in a field of study related to the work assignment.
Two years of professional experience in a project or program coordinator, data analyst, accounting/financial program assistant, or other similar position that has a focus on attention to detail and managing a high volume of information.
Valid and unencumbered Colorado drivers license.
Substitution of Degree: 5+ years of professional work experience in a project or program coordinator, data analyst, accounting / financial program assistant, or other similar position that has a focus on attention to detail and managing a high volume of information.
Preferred Qualifications:
Previous experience supporting or working with project managers.
Previous experience working with or in the construction industry.
Previous experience working in state or local government.
Attributes and Abilities:
Proven experience in establishing and maintaining effective working relationships with a diverse population at all levels throughout the institution-and into the community.
Ability to communicate in a positive and effective manner, across various modalities.
Excellent organization skills.
Ability to balance multiple projects and tasks in parallel to maintain attention to detail.

Conditions of Employment:
Must maintain a valid and unencumbered Colorado driver license.
