Department Summary:
The Airspace Operations Services Division is seeking an Administrative Assistant to join our team located at MITRE in McLean, VA. Our division is focused on achieving integrated and safe transportation systems that enable mobility for a better life in the United States and abroad. We specialize in the optimization, streamlining, and performance of operations in the National Airspace System.
The Division, a part of the Center for Advanced Aviation System Development (CAASD) FFRDC, develops concepts, tools, proto@types, metrics, data analytics and architectures, and advises the Federal Aviation Administration (FAA) and non-Federal partners on operational best practices. The Division partners with other elements of CAASD, with MITRE Labs, with other MITRE centers, and with industry to provide innovative end-to-end approaches to pressing airspace and transportation system problems.
Roles & Responsibilities:
Support Department Managers and staff within the Airspace Operations Services Division.
Partner with Division and Department Leaders to ensure that administrative processes, meeting agendas, schedules, and division policies are defined, clear, and executed.
Lead the onboarding process for new hires; assist Hiring Manager and HR Coordinator with job requisitions and help new employees navigate through orientations and checklists
Research meeting and IT options and innovative methods for operating in a hybrid work environment.
Share responsibility with project leaders and technical authors for many of the departments' communications and project deliverables. Provide basic review of documents, including formatting and simple editorial review, prior to delivery to sponsor.
Collaborate with other Division staff to plan and administer staff engagement activities, morale building ideas, awards/recognition events, and social gatherings.
Perform a variety of administrative tasks, including scheduling and prioritizing meetings, preparing documentation (letters, emails, briefings), monitoring daily timecard completion, and setting up meetings using video teleconferencing technologies.
Maintain calendars for department events and milestones (e.g., service awards).
Provide support to Department staff in navigating MITRE corporate processes (e.g., absence management, travel, expenses, HR benefits).
Disseminate and handle division-wide information on various collaboration tools (SharePoint, Teams, Huddle, etc.).
Demonstrate strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy, adaptability, decisiveness and follow through on a broad range of administrative support tasks.
Coordinate sponsor meetings through food catering execution, badging requests, conference room reservations, and video teleconferencing and audio/visual assistance. Provide administrative support for foreign visitor processing with appropriate MITRE offices.
Work in a collaborative team environment; working with Administrative Assistants in the Center to provide back-up coverage as needed to other Administrative Assistants.
Basic Qualifications:
Typically requires a minimum of 3 years of related experience with a High School Diploma or equivalent in education, or 2 years' experience and an Associate's degree, or equivalent combination of education and related work experience.
Applicants selected for this position may be subject to a government security investigation and must meet eligibility requirements for access to classified information or applicants who are eligible for security clearances.
Expertise in Office365 (Outlook, Teams, SharePoint, Excel, Word, PowerPoint, and Visio).
Persistent approach to follow-up on tasks, with suburb attention to detail.
Excellent written, communication and interpersonal skills to build strong external and internal networks and highly effective relationships with team members, business leaders, and sponsors.
Strong self-organization, problem-solving, and time management skills, with considerable emphasis on self-initiation and independent decision making.
Ability to effectively manage multiple tasks simultaneously and manage competing priorities with minimum supervision under deadline pressure in complex, fast-paced environments.
The ability to obtain government suitability within six months from the date of hire.
Preferred Qualifications:
Possess strong Microsoft Office Suite skills (Word, Excel, PowerPoint, Outlook), and Microsoft SharePoint.
Experience supporting meetings using video teleconferencing technologies such as Microsoft Teams.
Experience in travel planning systems.
Experience in project management tools.
Ability to provide technical editing support to materials generated by Department staff.
Previous experience supporting a large dynamic team fast paced team.
Minimum five years related experience.
Prior experience working with technical leadership and directors.
Experience working with government agencies.
