The Administrative Coordinator II works under general supervision and coordinates administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance.

Qualifications
Required Education and Experience
Bachelor's degree or equivalent combination of education and experience.
Three years of experience in office administration.
Knowledge, Skills, and Abilities
Knowledge of word processing, spreadsheets, database, and presentation applications. Ability to multitask and work cooperatively with others. Interpersonal and communication skills. Planning and organization skills.
Responsibilities
Administrative Office Support
This role provides essential administrative support to ensure smooth daily operations within the department.
Responsibilities include managing data entry, retrieval, and file maintenance, as well as participating in the planning and execution of broader administrative functions.
The position also oversees departmental facilities needs by coordinating maintenance and submitting service requests as necessary.
A key aspect of the role involves facilitating classroom and parking reservations for faculty and visitors and handling routine office purchases such as supplies, furniture, software, and technology.
Additionally, the position serves as a point of contact for questions related to university and departmental policies, ensuring clear communication and consistent application of procedures across the department.
Administrative Faculty and Staff Support
Support for faculty and staff includes coordinating travel arrangements such as transportation, lodging, and itinerary preparation, ensuring compliance with institutional travel policies.
This role is also responsible for processing reimbursement requests in a timely and accurate manner.
It provides administrative assistance with faculty resource procurement, such as placing orders for specialized equipment or instructional materials.
Additionally, the role manages the processing of GAR (Graduate Assistant Researcher) and GAT (Graduate Assistant Teacher) paperwork, helping faculty and department leadership navigate the university's administrative systems to ensure proper onboarding and appointment of graduate assistants.
Student Support
Student support responsibilities include coordinating travel logistics f or students attending conferences or academic events, ensuring all approvals and reimbursements are processed according to policy.
Acting as a first point of contact, this position helps students navigate departmental and university procedures, providing guidance on available resources and administrative processes.
Additional support includes processing student reimbursements and offering administrative assistance to ensure students can effectively engage with departmental operations and opportunities.
Event Coordination and Planning
This position plays a key role in the coordination and execution of departmental events, including faculty meetings, workshops, seminars, and special functions.
Duties include organizing event logistics such as securing venues, preparing materials, managing RSVP lists, and arranging catering or other necessary accommodations.
The role also ensures that parking and classroom spaces are reserved for guest speakers and attendees.
During events, the individual provides on-site support to ensure that operations run smoothly and that all logistical needs are addressed promptly.
The position may also assist with internal event promotion and communication to increase engagement and attendance.
