About this Position:
Under the direction of the Director of Operation the Program Coordinator collaborates with all departments to support the delivery of patient care. The Program Coordinator oversees the program functions over the Adolescent Behavioral Treatment Unit. They provide guidance through coordination with the multidisciplinary healthcare team to facilitate compliance with regulatory agencies, standards of care and hospital policy and procedures regarding delivery of patient care. Responds and plans for program services based on the community mental health system needs and demands. Responds to and assists with requests regarding data for these programs. Coordinates with the Department of Public Safety and Division of Facility Management for the safety and security of units, patients and staff.
Program Administration and Unit Coordination:
Project lead over operational and administrative functions for assigned unit(s).
Collaboration with a multi-disciplinary team of the assigned units.
Monitors timelines to ensure Administrative Assistants are completing and filing legal paperwork.
Ensures that all certifications are tracked and the proper legal work is completed prior to expiration dates.
Attends management meetings on assigned units to ensure that operations are meeting the needs of the unit's patient population.
In Collaboration with Senior Program Coordinator this position assists in ensuring that monthly linen audits are complete during monthly unit search.
Approves incoming patient property that is allowed on the unit.
Collaborates with nursing to gather information, ensure follow-up and develop preventive measures related to operations in regards to critical incidents for all assigned units.
Ensures that patient photographs are updated if appearance changes or periodically as indicated by policy.
Coordinates operational movement needs for units and discharges.
Attends Executive Committee (EC) for change requests to the Police Escort List for assigned units.
Maintains the approved Police Escort List for the Hawkins Building.
Collaboration with the clinical team when patients are allowed access to cellphones, computers, technology and internet.
Position will review the requirements of the patient technology agreement with the patient.
Program Coordinator and unit staff will be responsible for monitoring the use of cell phones/computers to ensure that the patient is following the signed Patient Technology Agreement.
Once a cellphone/computer is obtained, the internet must remain blocked and verified by the Program Coordinator to prevent unauthorized use of the internet without supervision.
Secures cellphone/computer if the patient violates the terms of the agreement, or if another violation of policy occurs.
Safety and Security/Regulatory Compliance:
In collaboration with the other departments, provides on-going assessment of patient safety, patient security needs and adherence to safety/security, fire code policies and procedures.
Provides training of staff regarding risk management issues, policies and procedures.
Reviews CMHHIP policy/procedures and provides recommendations to revise/update current policies to meet daily operations, safety and security.
Conducts weekly environment of care rounds of all assigned units, inspecting patient rooms and patients living areas to ensure compliance.
Inspects patient furniture for damage and reports all damaged or broken furniture to Hospital Operations to ensure the item is taken out of service.
This position, in collaboration with the unit team, implements quality changes documented as necessary by the Quality Management Department during tracers designed to maintain regulatory compliance.
Facilitates monthly 'Instant Action Plan' and educates, corrects, improves processes to ensure unit meets regulatory requirements.
Regularly conducts rounds on all assigned units and works in collaboration with Lead Nurse to correct all deficiencies noted during EOC rounds.
Fiscal Duties:
Reviews requests and sends them to the Senior Program Coordinator for 1st level approval of all unit purchases; reviews items requested and submits approval through the CMHIP Item Approval Form; submits purchase request to Program Senior Coordinator to forward for final approval.
Involved in tracking purchases and spending for CMS/PBS incentives while ensuring that units are staying with in budget and not overspending.
Assists in ordering and shopping for patient holiday orders to include special functions such as Thanksgiving and Christmas meals and gifts for patients.
Monitors that the PCARD process is followed after completing PCARD training.
Reviews items requested and submits approval through the CMHHIP Item Approval Form; Work leader over the Administrative Assistance who is responsible for unit purchasing.
Establishes identified back-ups are in place for emergent purchasing during leave periods.
GPS/Ankle monitoring:
Attends Plan of Care meetings for patients that are assigned ankle monitors to ensure communication and understanding of patient privileges.
Attends specialized Ankle Monitor/GPS training to include training in use of BI Total Access system.
Monitors, tracks and responds to alerts for all patients on assigned unit who require ankle/GPS monitoring.
Clears all alerts during normal business hours within 24 hours. On weekends, after hours, or holidays, clears alerts the next business day.
When on scheduled or unscheduled leave, assures that all GPS alerts for the unit are turned over to designated coverage.
Responds to all alerts by verifying whereabouts of patient and then documents accordingly when clearing alert.
Checks ankle strap for each patient at least monthly, documents inspection on tracking log and provides log to Program Support Director for initials on a monthly basis.
Makes all necessary notifications when new strap is needed and participates in replacing the device.
Maintains expertise in strap removal and ankle monitor placement. Ensures an extra strap is available for immediate need.
GPS/Ankle monitoring:
Work leader/project leader over designated Administrative Assistant III's, Health Professional II's, or other disciplines of the assigned department.
This position is responsible for direction and assistance to staff assigned to assigned units while working in conjunction with the Senior Program Coordinator.
This position is responsible for working with the Senior Program Coordinator to ensure all operational services provided on the assigned unit are delivered correctly.
The position is responsible to ensure all assignments and duties are completed and in compliance with CMHHIP policies and procedures while working in conjunction with the Senior Program Coordinator.
Staff are notified promptly of changes to processes, policies and procedures through communication methods to include Cornerstone, meetings, email and individual contact.
Individual coaching sessions are conducted regularly with assigned staff.
Other Duties as Assigned:

Seven (7) years of relevant experience in an occupation related to the work assigned to the position

Education and Experience:
A combination of related education and/or relevant experience in an occupation related to the work assigned equal to seven (7) years.

CBI name check and fingerprint check, ICON Colorado court database, Medicare fraud database, Reference Checks, Professional License verification (licensure requirements), Drug Screen, PREA (Division of Youth Services), Trails check (direct contact with children), CAPS (direct contact with adults - Mental Health Institutes, Regional Centers, Veterans Community Living Centers)
TB testing and other vaccinations as required by the State of Colorado.
