Accounts Payable Specialist

Description We are looking for an experienced Accounts Payable Specialist to join our team in Vista, California. This is a Contract-to-permanent position offering an exciting opportunity to contribute to the smooth financial operations of our organization. The ideal candidate will have a strong background in managing accounts payable processes, building vendor relationships, and ensuring compliance with company policies.

Responsibilities:

Oversee and organize the accounts payable process to ensure compliance with established company policies and procedures.

Analyze payment schedules to strategically optimize cash flow and forecast financial needs.

Build and maintain strong vendor relationships through effective communication and collaboration.

Process invoices promptly and route them for approval to ensure timely payments.

Exercise independent judgment to prioritize and execute payments for construction, service invoices, garnishments, and overhead expenses.

Investigate and resolve discrepancies in supplier accounts to ensure records are accurate.

Prepare and distribute checks, match them with invoices, and file documentation appropriately.

Coordinate vendor release tracking and collaborate with accounts receivable to ensure timely exchange of required documents.

Evaluate and propose improvements to streamline accounts payable policies and procedures.

Support the accounting team by cross-training on other roles and providing assistance during periods of high demand. Requirements - Proven experience in accounts payable processes and procedures.

Proficiency in account coding and invoice management.

Familiarity with Automated Clearing House (ACH) transactions and check runs.

Hands-on experience with Sage Software or similar accounting platforms.

Strong ability to identify and reconcile account discrepancies.

Excellent organizational skills and attention to detail.

Effective communication skills for vendor and team interactions.

Capacity to work independently and make sound financial decisions.
