Schedule: Monday-Friday, 8:30 AM - 4:30 PM
Hourly Rate: $19.00 - $21.00/hour
Reports To: Department Chair/Director
Position Overview
Curry College is seeking a detail-oriented and organized Administrative Assistant to provide essential support for the Levin Library, Education, Graduate Education, and Writing programs. This role also serves as the key point of contact for the Faculty Building, ensuring smooth administrative operations and welcoming visitors. This temporary role may lead to a permanent opportunity for the right candidate.
Key Responsibilities
Administrative Support
Respond to emails and phone inquiries; take meeting minutes as needed.
Assist faculty with tasks such as mailings, printing, and mailbox organization.
Support department chairs/directors with preparation of Contract Request Forms.
Assist with planning and coordination of departmental events, including scheduling rooms and catering, tracking RSVPs, and communicating with campus partners.
Manage calendar scheduling for the Levin Library and related departments.
Coordinate maintenance and general operations of Faculty Building office equipment.
Support self-study, accreditation, and regulatory visit preparation.
Budget & Purchasing
Track departmental budgets using Banner; provide updates upon request.
Prepare and process purchase orders and check requisitions.
Manage inventory and order supplies for the Faculty Building and departments.
Assist with library materials purchasing and vendor communication.
Reception & Customer Service
Greet visitors and serve as the first point of contact for the Faculty Building.
Handle student inquiries related to registration and departmental processes.
Maintain office files and assist with distributing faculty course evaluations.
Oversee Education department's tracking systems and student compliance records.
Student Worker Supervision
Recruit, train, schedule, and supervise student employees.
Assign tasks, monitor performance, and approve hours in the timekeeping system.
Qualifications
Required:
Associate's degree.
2-5 years of office administration experience.
Strong interpersonal, organizational, and time management skills.
Proficient in Microsoft Office Suite (especially Excel).
Ability to multitask, prioritize, and meet deadlines.
Willingness to learn new technologies and systems.
Preferred:
Bachelor's degree in a related field.
Experience in higher education or college settings.
Familiarity with Banner, Coursedog, CANVAS, Google Suite, SharePoint, Navigate360, Qualtrics, Microsoft Teams, Zoom, and other academic tools.
Physical & Mental Demands
Must be able to sit, stand, walk, climb stairs, and lift up to 20 lbs.
Requires manual dexterity, visual focus, and extended computer use.
Must be able to manage multiple tasks and frequent interruptions while maintaining attention to detail.
