Job Title: Administrative Assistant

Location: Hybrid - Bellevue, WA (Local Candidates Only)

Employment Type: Full-Time, Contract

Pay rate range: $26 - $35

Position Overview:

System One is seeking a proactive and highly organized Administrative Assistant to support a fast-paced project team leading the development of a cutting-edge advanced manufacturing facility. This role is critical during an aggressive hiring ramp-up and focuses heavily on interview coordination, calendar management, and project support.

The ideal candidate thrives in fast-moving environments, communicates effectively, and demonstrates ownership with minimal oversight. Prior experience supporting recruiting teams or working in regulated industries (engineering, life sciences, or advanced manufacturing) is a strong plus.

Key Responsibilities:

Coordinate and schedule candidate interviews across multiple stakeholders and time zones

Manage project team calendars; handle rescheduling and resolve conflicts promptly

Track interview progress and maintain candidate documentation

Prepare and distribute meeting agendas, notes, and action items

Support onboarding logistics for new hires

Assist with document formatting, version control, and file organization (SharePoint, Teams, etc.)

Provide light project coordination, including maintaining trackers and summarizing tasks

Required Qualifications:

3+ years of experience in administrative, recruiting coordination, or project support roles

Strong scheduling and calendar management skills across diverse stakeholders

Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Familiarity with video conferencing platforms (e.g., Teams, WebEx)

Excellent verbal and written communication skills

Strong grammar, editing, and proofreading ability

Detail-oriented with strong organizational skills and the ability to multitask

High level of professionalism, reliability, and integrity

Comfortable working independently and proactively following up
