Job Summary:
85% Day to Day Operations Management
Execute projects assigned by the Division Chief or Division Administrator
Divisional level meeting minutes
Support the Division Chiefs of Urogynecology and Reconstructive Pelvic Surgery and Reproductive Services and Division Administrator for Reproductive Sciences with calendar management.
Handle/maintain/develop routine correspondence and materials, sensitive and confidential employee information, and employee personnel files.
Assist with courier shipping, receive and distribute mail in Research Complex II
Coordinate catering when needed
Schedule meetings for internal and external participants
Process facilities requests for Research Complex II
Ensure DRS suite is kept clean and organized at all times
Participate in organized training and meetings to learn new aspects related to the job and retain current information on research, academic policies and procedures, and general campus operations.
Maintain office supplies inventory; anticipate needed supplies; place orders; verify receipt of supplies
With the needed training provided, Business Services Entry Level Professional for the Division of Reproductive Sciences may provide backup support and assistance to other departmental administrative support staff.
Perform procurement functions including travel card, procurement card, purchase orders and associated budget management (speed @type audits/reports, allowable expenditures, etc.) for the division, including travel arrangements and reimbursements for all members of Reproductive Sciences and Urogynecology and Reconstructive Pelvic Surgery members
Maintain curriculum vitae, biosketches, and annual evaluation documents for assigned faculty for Urogynecology and Reconstructive Pelvic Surgery
Support UroGyn Division level event coordination as necessary

Qualifications:
Minimum Qualifications:
A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
Preferred Qualifications:
Experience implementing organizational operations and procedures.
Experience using web-based information systems (i.e. PeopleSoft or similar).
One (1) year of professional budget, HR, financial and/or project management experience.
Knowledge, Skills and Abilities:
Demonstrated ability to independently perform a wide range of responsibilities.
Excellent verbal and written communication skills
Proven ability to maintain cooperative working relationships both internally and externally. A positive, highly motivated, energetic, and collaborative professional attitude.
Ability to coordinate and collaborate with multiple internal and external parties.
Ability to perform in a fast-paced, challenging, and diverse environment
Must exercise independent judgment and discretion when deciding upon procedures to be implemented, setting priorities, maintaining standards, and resolving problems.
Ability to manage and perform a variety of routine and complex assignments with considerable independent judgment
Must be detail-oriented with exceptional organizational skills.
