JEFFERSON COUNTY PREVENTION AND RECOVERY BOARD
ADMINISTRATIVE ASSISTANT
The Jefferson County Prevention and Recovery Board's purpose is to plan, coordinate, fund, and evaluate high quality mental health and addiction prevention, treatment, and recovery support services for all Jefferson County residents. The Jefferson County Prevention and Recovery Board contracts with a number of certified agencies to meet the service needs of County residents. This is done as mandated by an Ohio statute.
General Duties: Assists Executive Director, Governing Board and Staff with various office functions. Provides support for the entire Board Office ensuring communications, planning and meeting coordination, while contributing to the overall performance of the Jefferson County Prevention & Recovery Board. Reports directly to the Executive Director.
Performs Administrative Assistant duties: Greets and directs all communications. Ensures timely and accurate communication for the Executive Director, Board, and other staff members (letters, reports, memos, forms, etc.) as directed. Opens incoming Board correspondence and distributes as directed. Assists Executive Director and other Board Staff with faxing, copying, filing and operating all office machines. Acts as courier as directed to Agencies, courthouse, food store and other board contacts.
Arranges all Board/Committee meetings, contract agency meetings, local meetings and/or trainings as requested by the Executive Director. Coordinates all details of setting up meetings. Prepares all materials for Board/Committee meetings, makes telephone calls to members, etc. Makes all arrangements for food/refreshments. Ensures Boardroom and workspaces are clean and stocked with supplies.
Attends all Board meetings. Attends Committee meetings as requested by Board Director. Transcribes and @types minutes of all meetings. Maintains all records in Board Office as per the records retention policy.
Maintains Board member mileage records. Prepares annual list for Finance Director.
Maintains all official copies of Board Policies, Personnel Policies, correspondence, contracts, and reports.
Other duties as assigned to support the operational needs of the Board Office as delegated by the Executive Director.
Qualifications
Bachelor's Degree or 2 years of administrative experience or comparable professional experience. Experience and understanding of the Microsoft Office Suite of programs. Must be very well organized, motivated, and able to multitask. Excellent written and verbal communication skills, attention to detail, proactive problem-solving, and ability to maintain confidentiality. Experience with the behavioral health field and the population served is preferred.
Schedule
Work hours are typically Monday -- Friday, 8:00 a.m. -- 4:30 p.m. Required attendance at Board Meetings on Monday evening once a month and occasional other evening meetings. Valid driver's license with occasional local driving needs.
Salary Range $35,000 - $55,000 per year commensurate with experience
