Responsible for providing administrative support to ensure efficient operation for the administrative duties for the Sterile Processing Department.
Responsible for confidential and time sensitive material. Familiar with Sterile Processing Department standards and requirement to help organize department meetings within and with other department and vendors. Effectively communicates via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Principal Accountabilities:
Strong organizational and time management skills
Excellent written and verbal communication skills
Attention to detail and accuracy in data entry and documentation
Assist with maintaining and updating department competencies, policy and procedures
Ability to multi-task and prioritize in fast-paced environment.
Proficiency with Microsoft 360 Office Suite (Teams, Word, Excel, Outlook, PowerPoint)
Understanding of HIPPAA and the importance of sensitive matter in the department.
Ability to enter data in the SPM instrument tracking system and ordering system.
Organizes and schedules meetings, and appointments, maintains contact list, and answers phone calls.
Produces and distributes correspondence memos, letters, emails, department flash, faxes and forms.
Assists in the preparation of regularly scheduled reports and supports in reconciling expense reports for items order by other departments.
Develops and maintains a filing system (orientation, certification, competencies, training, etc.).
Maintains the department logs, files, schedule, assignments and time attendance system.
Orders and maintains office supplies, forms, checklist and complete requisition as needed.
Provides general support to visitors and provides information by answering questions and requests.
May research and create presentations.
Prepares and monitors invoices.
Performs other related duties as assigned.
Must be able to collaborate effectively with SPD Technician, nurses, and hospital leadership.
Ability to learn hospital-specific software and protocols quickly.
Education/Experience
High School Diploma or equivalent required.
Associate's degree in business administration or related field preferred.
2 -3 years of experience in Business Administration or relevant area preferred
