Description

We are looking for a detail-oriented Administrative Assistant to join our team in West Palm Beach, Florida. In this position, you will play a vital role in providing organizational and administrative support while managing schedules, communications, and record-keeping for multiple stakeholders. This role requires strong multitasking abilities and exceptional communication skills to ensure operations run smoothly.

Responsibilities:

Handle incoming calls, respond to inquiries, and coordinate appointments across multiple calendars.

Organize and prioritize incoming mail, review statements, and ensure proper filing or distribution to team members.

Prepare outgoing mail, including creating address labels, tracking slips, and managing packaging and stamp inventory.

Provide comprehensive administrative and information management support to the team.

Draft meeting agendas and compile necessary supporting materials.

Maintain and organize both physical and digital filing systems.

Arrange travel plans and meetings for principals and marketers, ensuring schedules are efficiently managed.

Monitor schedules to provide timely reminders and updates to principals.

Facilitate daily operations by ensuring all administrative tasks are completed accurately and on time.

Requirements - Proficiency in answering inbound and outbound calls with excellent customer service skills.

Strong data entry abilities and attention to detail in handling records and correspondence.

Competency in managing email correspondence professionally and efficiently.

Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

Experience in scheduling and coordinating appointments.

Strong organizational skills to manage multiple tasks and prioritize effectively.
