A day in the life of this role: Reporting to the Medical Records Supervisor, the Medical Records Coordinator for Outer Cape Health Services (?OCHS?), processes medical records and health information, utilizing both electronic and paper formats, for active and inactive patients. The incumbent will also assist in preparing information for record release in accordance with OCHS?s legal protocol. Maintain patient confidentially at all times. Record, update and maintain all individual patient records utilizing the numeric coding system in corresponding log, or computer. Prepare and distribute daily internal and external mail/correspondence, including preparing mail for courier pick up. Ensure all patient related material is filed appropriately in patient record utilizing appropriate divider organization and filing procedures, (i.e., progress notes, labs, x-rays, EKG, correspondence, etc.) Monitor electronic fax server and provider ?outgoing scan/fax? boxes and distribute material as necessary. Respond to release of medical record requests within a reasonable amount of time (30 days), notifying the Medical Records Supervisor of any delays. Assist other staff members in locating patient records for lab, x-ray, etc. Assist as necessary in providing medical records/health information as required for audits that are to be reviewed by external agencies, i.e., Department of Public Health under the direction of the Medical Records Supervisor May assist in the training of new personnel as directed by the Medical Records Supervisor Notify and assist the Supervisor in ordering Medical Record supplies. Collaborate with site Referral Coordinator (s) to \"close the loop\" on outgoing referral when a report from an outside specialist is received. Performs other related duties and projects as assigned. Adhere to OCHS policies and procedures. Other related duties and projects as assigned Qualifications What we need from you: High School Diploma, or equivalent 6 months of clerical and/or office experience, including extensive public contact, preferably in a health care setting. 1 year in a clinical/community health setting preferred. Basic insurance knowledge preferred. Excellent interpersonal skills, communication skills, organizational abilities, computer experience, and the ability to work within a collaborative team setting. Excellent written and verbal communication skills - bi-lingual helpful Proficiency in computer skills including EPIC, Outlook, Microsoft office, OneDrive etc. Excellent judgment and ability to solve problems in a timely manner.
