Job Duties and Other Information
Job Duties:
As an Administrative Coordinator, you will,
Provides confidential clerical and administrative support, including but not limited to scheduling meetings and taking minutes.
Receives, sorts, and distributes incoming mail; prepares outgoing mail; and maintains the postage machine to ensure proper funds are available.
Submits electronic requests for Information Technology Department and Facility Asset & Risk Management Department support.
Maintains a supply inventory. Assists staff with obtaining supplies from in-stock inventory.Keeps supplies organized and replenishes as needed.
Prepares purchase authorizations and obtains appropriate signatures.
Serves as the Records Manager for the Finance Operations Division; coordinates the retrieval and pick up of requested files from JPHSA's archived records. Coordinates the destruction of records with the Records Officer; manages the process of physically destroying the records earmarked for destruction.
Serves as the Finance Operations Division timekeeper. Receives timesheets, reviews for accuracy of time calculations and completeness of entry; enters hours of work into LaGov.
Supports year-end audit preparations such as mailing grant invoices and contracts
Reviews the JeffCare Self Pay Report provided monthly by the Revenue Cycle Analyst for following up with patients on outstanding balances
Receives phone calls and walk-ins for account information and provides information on outstanding balances.
Reviews accounts monthly to determine what accounts are delinquent and what JPHSA amounts are collectable.
Sends reminder letters monthly on delinquent accounts and scans a copy into the electronic health record.
Contact individuals served by phone to collect the account balances and document conversations within the electronic health record.
Position-Specific Details:
Appointment Type: Probational, Promotional, or Job Appointment
Career Progression: This position participates in a Career Progression Group and can be filled as an Administrative Coordinator 1, 2, or 3.
Work Schedule: Work hours are 8:00 AM to 4:30 PM, Monday - Friday.
Compensation: The salary offered will be determined based on qualifications and experience.
