Executive Administrative Assistant

We are seeking a highly organized and proactive Executive Administrative Coordinator to provide advanced administrative and project support to a dynamic Sales and Marketing team. This position requires strong multitasking abilities, exceptional communication skills, and the confidence to engage with individuals at all levels, including executive leadership. The role supports a VP and teams across Sales Training and Marketing (approximately 15 people total) within a high-visibility business function.

Key Responsibilities:

Perform a variety of administrative tasks including scheduling, coordinating travel, managing calendars, handling correspondence, ordering supplies, preparing reports, and maintaining records.

Organize and coordinate complex meetings and events, including components of national trade shows.

Manage expense reporting and processing (experience with Concur preferred).

Maintain accurate and timely status reports, track project budgets, and ensure deliverables are met on time.

Liaise with vendors-securing estimates, processing invoices, and ensuring quality standards are met.

Provide guidance to other team members and serve as a key resource for department operations.

Draft, edit, and prepare high-quality communications including memos, presentations, and reports.

Handle confidential and sensitive information with discretion and professionalism.

Anticipate needs, develop efficient processes, and proactively resolve potential obstacles in support of department goals.

Maintain and improve quality systems and compliance across all administrative functions.

Required Qualifications:

High school diploma or equivalent required; advanced certifications a plus.

Minimum of 5 years of administrative experience, preferably supporting executive-level leadership and large teams.

Strong experience with Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).

Proven ability to multitask, manage competing priorities, and meet tight deadlines.

Detail-oriented with excellent organizational skills.

Strong written and verbal communication skills; comfortable engaging with stakeholders at all levels.

Experience with calendar management and travel coordination.

Familiarity with expense reporting systems such as Concur is highly desirable.

Poised, professional, and confident in fast-paced environments.

Additional Information:

This hybrid position requires 3-4 days per week on-site between two local office locations. Candidates must have reliable transportation to commute between sites.

Pay Details: $30.00 to $35.00 per hour
