Accounting Assistant

Responsibilities

Code items such as invoices, expense reports, and check requests with correct codes conforming to standard procedures for proper entry into the financial system.

Correspond with vendors to ensure compliance, track subcontractor insurance and lien waivers, and manage credit applications from vendors.

Process subcontractor contracts electronically and track the receipt of required documents.

Assign and track sales and use tax, along with managing tax exemption certificates.

Attach corresponding delivery slips to incoming invoices with all supporting documentation.

Investigate and resolve issues associated with the processing of invoices and purchase orders.

Assist with monthly status reports and monthly closings.

Reconcile various accounts by identifying errors in posting or omissions and apply appropriate accounting standards.

Receive, research, and resolve a variety of routine internal and external inquiries concerning account status and communicate the resolution of discrepancies to appropriate persons.

File, maintain, and distribute accounting documents, records, and reports.

Perform other duties as required to support the Accounting Department.

Essential Skills

College Degree or 3 years relevant experience.

One-year experience in accounts payable and office environment.

Proficiency in computer and software applications.

Comfortability with a paperless environment.

Energetic attitude with strong interpersonal skills.

Understanding of accounting practices.

Additional Skills & Qualifications

Knowledge of Sage 300 software and/or cost accounting is a plus.

Skills in accounts payable, invoice processing, invoicing, and data entry.

Ability to process 400-500 invoices monthly.

Attention to detail.

Proficient in data entry.

Strong communication skills, especially with vendors over the phone.

Phone etiquette and deposit verification.

Pay and Benefits

The pay range for this position is $28.85 - $31.25/hr.
