DESCRIPTION:
As a Project Admin at Tutor Perini Building Corp., reporting to the Project Manager, you will have the opportunity to:
Act as liaison for the project; respond to requests, answer the phone and greet visitors onsite
Aid project with any site security / badging or other logistic items as needed
Maintain the field office services and supplies including office supplies, office equipment and employee supplies
Run project reports as required for the project team and for record purposes
Track and maintain up to date logs for Subcontract compliance as required, including but not limited to, insurance, prevailing wage compliance, skilled and trained reporting compliance, diversity reporting, and any other project-specific needs
Ensure current logs are available for use by the FOC and Project team
Compile billing backup documentation as required to aid with the submission of the monthly invoice to the client
Compile and log Subcontractor and sub-tier lien waiver pass-through information from pre-liminary notices and lien waivers for project team review and use
Track identified Subcontractor payment deficiency items until cleared and obtain lien waivers for all payments made
Collect union payroll hours weekly from the Superintendent or designee and upload it to the financial system for processing by the required deadlines
Work with the Project Superintendent, under the supervision of the FOC or accountant to reclass and move equipment into the correct scopes/cost codes
Cost code and obtain review and signatures on non-sub accounts payable and submit to AP department for payment
Aid the Project FOC with completing and tracking of employee and equipment transfers
Assemble and file necessary documentation for archiving along with the project team at the end of the project
REQUIREMENTS:
High school diploma required, associate's degree or some college preferred
Administrative Assistant, Accounting Clerk and Construction industry experience preferred, but not required
Ability to effectively communicate and participate actively in a critical role as part of a team environment
Intermediate level proficiency with MS Office to include Excel
Project Management Software (Procore), JD Edwards E1 (Financial) & Bluebeam pdf experience preferred
Egnyte or similar cloud platform content sharing experience preferred
Adept in learning new software quickly and able to navigate and use it to review, track, and upload various documents
