POSITION SPECIFICS
Penn State is currently seeking a Administrative Assistant in supporting the Corporate Engagement Center (CEC). The Corporate Engagement Center is a collaboration between the Office of the Senior Vice President for Research and the Division of Development and Alumni Relations. The Corporate Engagement Center connects industry partners to strategic opportunities at Penn State for research and development, philanthropy, and talent recruitment. The Center serves as a hub for industry/University relationships, supporting companies as they navigate the vast resources of Penn State. The team is here to help build lasting, mutually beneficial relationships. As a member of the Division of Development and Alumni Relations, you can play an integral role in Penn State's future and contribute to one of the most successful fundraising and alumni relations operations in the country.
Reporting to the Constituent Programming and Events Officer, CEC and working closely with the Assistant Vice President of Corporate Engagement and the CECDirectors, this Administrative Assistant will:
Act as assistant to the Assistant Vice President and CEC Directors by providing support for scheduling, personal calendars, staff travel arrangements, and expense reconciliation.
Articulate Penn State's needs, ambitions, and values, including diversity, equity, and inclusion, through excellent informal and formal communications.
Assist with meeting and event planning and execution, including logistics and note-taking.
Staff meeting scheduling, note-taking, and office calendar management.
Process and document philanthropic and corporate gifts and support research financial needs.
Greet and direct visitors, as well as manage and respond to inquiries from the CEC website and central email account.
Reserve fleet vehicles.
Maintain office supplies and arrange for equipment maintenance and facility's needs.
Perform other duties as assigned.
The successful candidate will have:
High School Diploma/GED or Vocational Training/Degree and 2+ years of relevant experience, or an equivalent combination of education and experience;
A dedication to and understanding of the skills required to build relationships with diverse communities;
Demonstrated commitment to diversity, equity, and inclusion.
Ability to work with minimal supervision on difficult assignments, conferring with manager on unusual matters.
Experience with standard office procedures.
Ability and willingness to learn job-related software.

Preferred Skills and Systems Knowledge:
Proficiency in Office 365 applications (i.e. Teams, SharePoint, Outlook, Word, Excel,PowerPoint).
Ellucian Advance, Salesforce, or other CRM software.
DocFinity or other document management software.
SAP Concur (our expense processing system).
Financial transaction processing software.
Experience with adhering to policies and procedures.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONSGeneral Equivalency Diploma (GED) or High School (HS)

SALARY & BENEFITSThe salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
