A Healthcare Company in Los Angeles is looking for a Medical Administrative Assistant to join the team. The Medical Administrative Assistant position involves providing essential administrative and organizational support to ensure smooth operations within the medical office environment. The Medical Administrative Assistant requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This is an exciting opportunity to contribute to the success of a dynamic team and grow in a detail-oriented environment.

Responsibilities:

Manage calendars and coordinate scheduling for senior leadership, ensuring timely communication and preparation for meetings.

Serve as the primary liaison to the Board of Directors, facilitating governance functions and overseeing communication with internal and external stakeholders.

Prepare and distribute Board materials, maintain accurate records, and support data collection for reporting purposes.

Oversee logistical arrangements for program-related initiatives, including clinical training sessions, compliance projects, and strategic planning events.

Organize staff meetings, retreats, and special gatherings, ensuring all arrangements are seamless.

Handle office administration tasks such as expense reporting, travel arrangements, and reconciliation of credit card receipts.

Assist with the production and mailing of organizational communications, ensuring a high-quality standard.

Provide excellent customer service by responding to inquiries and ensuring stakeholder satisfaction.

Maintain and organize records and files to ensure accessibility and accuracy.

Support outreach efforts, volunteer activities, and special events as needed.

Requirements - Proven experience in administrative support within a detail-oriented environment, preferably in healthcare or medical administration.

Strong organizational skills with the ability to prioritize and manage multiple tasks.

Excellent written and verbal communication abilities.

Proficiency in Microsoft Office Suite and other relevant software tools.

Ability to maintain confidentiality and handle sensitive information with discretion.

Strong attention to detail and accuracy in managing records and reports.

Demonstrated ability to work collaboratively with diverse teams and stakeholders.
