SUMMARY
The Safety Administrative Assistant will play a key role in supporting the company's Safety Department. This position provides both administrative and clerical support to ensure efficient operations and effective communication across office and field teams. The ideal candidate will be organized, detail-oriented, and capable of handling confidential and time-sensitive information with professionalism.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential responsibilities include, but are not limited to, performing the following regularly or as a backup:
Assist in the daily operations of the Safety Department
Provide administrative support to both office and field personnel
Schedule and coordinate employee training, including online courses and off-site sessions
Ensure safety records, reports, and certifications are organized and up to date
Manage calendars and coordinate meetings for the Safety Department
Communicate effectively internal team members and external partners by phone and email
Prepare and distribute safety-related documents and material updates
Ensure compliance with company safety policies and regulatory requirements
Support and assist with incident reporting and investigation processes
Maintain confidentiality of sensitive information at all times
Perform additional duties as assigned
QUALIFICATIONS

PREFERRED EDUCATION and/or EXPERIENCE
High school diploma or equivalent; additional education or certifications in safety, business administration, or a related field is a plus
Minimum of 1 year of administrative experience, preferably in a safety, construction, or industrial environment
Familiarity with safety procedures, documentation, and compliance standards is preferred
Knowledge of COINS software is helpful but not required
COMPUTER SKILLS
Must demonstrate proficiency in Microsoft Office applications (i.e.: Outlook, Word, Excel, etc.)
Comfortable working within Windows-based platforms
Ability to learn and adapt to new software systems and digital tools

This position is primarily office-based and requires the ability to remain seated for extended periods while operating a computer and other standard office equipment. The employee must occasionally move about the office to access files, supplies, and equipment, including reaching low or high storage areas. This role may also involve occasionally transporting materials, such as training supplies, weighing up to twenty-five (25) pounds.
The position requires the ability to perceive and process visual information, such as reading documents and interpreting safety signage, with or without corrective devices. Effective verbal and written communication is essential, including the ability to exchange accurate information with team members, vendors, and field personnel. All essential functions may be performed with reasonable accommodations as needed.
