Administrative Assistant [TEMPORARY]

THOR Solutions, LLC is seeking a highly motivated Administrative Assistant to support a contract at the Naval Undersea Warfare Center, Division Newport (NUWCDIVNPT) in Middletown, RI. This individual will be responsible for assisting with various administrative functions including:

Organize, compile, update personnel records and documentation.

Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off.

Prepare, manage and store files for HR policies and procedures.

Answer employees' questions and provide requested information.

Maintain schedule and coordinate calendar activities.

Assist recruiters in posting job ads on careers pages and processing received resumes.

Create reports for senior management.

Help organize and manage new employee orientation, on-boarding, and training programs.

Technical writing.

Record and distribute meeting minutes.

Assemble, formulate and proof program reviews and weekly status reports.

Update training distribution lists.

Track and report on all training requirements.

Update meeting minutes and schedules.

Assist with data calls, compile monthly metrics and provide monthly updates.

This is a temporary position, with an ASAP start and anticipated October 2025 end.

Location: Full time onsite at NUWC Division Newport in Newport/Middletown, RI.

Typical Physical Activity: Desk/computer work in an office environment. May involve: repetitive motion.

Security Clearance Eligibility Required:?This position requires a DoD Secret security clearance. A qualified candidate must either already possess an active or interim Secret security clearance (highly preferred); OR be eligible for a Secret security clearance prior to hire.

Typical Knowledge, Skills, and Abilities:

High school diploma/GED equivalent.

A higher degree (Associate's or Bachelor's) or relevant vocational or military certifications are preferred, and may partially fulfill experience requirements.

At least three (3) years, and preferably at least five (5) years, of recent, relevant professional experience providing diverse administrative, clerical, or programmatic support services.

Experience gained in a US Navy/DoD environment is highly preferred.

Prior experience working with the Defense Travel System (DTS) and/or Navy Enterprise Resource Planning (Navy ERP) is preferred.

Intermediate or advanced proficiency and experience with common productivity software, including the Microsoft Office suite (Excel, Word, PowerPoint, and Outlook) and Adobe Acrobat.

Excellent organizational, communication, and time management skills.

Ability to multi-task, self-prioritize workload, and ensure successful adherence to schedules and deadlines.

Comfortable working with all levels of the customer organization, from entry-level to executive, and interacting with Federal civilian, active-duty military, and/or contractor personnel.
