Description We are looking for a skilled and highly organized Administrative Assistant to join our team in Thousand Palms, California. This long-term contract position is ideal for someone who excels at multitasking, managing schedules, and ensuring smooth day-to-day operations in a fast-paced environment. The role requires a proactive individual with exceptional communication skills and a keen eye for detail.

Responsibilities:

Arrange and coordinate travel plans, including reservations, itineraries, and expense authorizations, ensuring efficiency and accuracy.

Manage and maintain calendars by organizing schedules, setting up meetings, and adapting to shifting priorities.

Perform a variety of administrative tasks simultaneously with a high degree of accuracy and attention to detail.

Prepare and format reports, presentations, and correspondence using Microsoft Word and Excel.

Oversee office operations such as file management, liaising with vendors, and monitoring inventory for supplies.

Handle sensitive information and documents with confidentiality and professionalism.

Answer incoming calls and provide assistance or direct inquiries as needed.

Support data entry tasks to ensure records are accurate and up-to-date.

Collaborate with team members to improve administrative processes and efficiency. Requirements - Minimum of 2 years of experience in an administrative support or executive assistant role.

Strong organizational skills and attention to detail to ensure tasks are completed accurately.

Ability to handle multiple responsibilities and meet deadlines in a dynamic work environment.

Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

Exceptional written and verbal communication skills.

Experience coordinating travel arrangements and managing expense authorizations.

Capable of working independently and taking initiative to solve problems.
