Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). In lieu of a Bachelor's degree, an Associate's degree (foreign equivalent or higher) and two (2) years of full time directly related administrative experience in warehouse/shipping/receiving management may be considered. Two (2) years of full-time administrative experience in Warehouse Operations or inventory. Experience with Microsoft Office Suite and/or Google applications. Supervisory experience (supervision of students may be considered). Frequently moves items, such as equipment, packages, and/or furniture up to 50 lbs. Must have, keep and maintain the appropriate valid NYS Driver's License; have a motor vehicle record which is free from major violations or a pattern of repeat violations. Brief Description of Duties:
Campus Residences, at Stony Brook University, is seeking a Supervisor of Warehouse Operations to oversee all aspects of Warehouse operations. The Supervisor of Warehouse Operations reports to the Associate Director of Safety and Support Services. The incumbent is accountable for the administrative management and coordination of activities related to the overall operations and services of the Campus Residences Warehouse. This position assists with the supervision of 5 full-time state classified and 20 temporary student employees. Work involves occasional exposure to elements like inclement weather and extreme temperatures. Incumbent must be able to adapt easily to changes in operational procedures and/or technology. Incumbent must be detail-oriented and highly organized with excellent verbal and written communication skills.
Warehouse and Customer Service
Managing Campus Residences Warehouse operations, including the purchasing, receipt, distribution, and maintenance of all residential and office furniture.
Serving over 10,000 residential students, anticipate seasonal peak and valley of residential work order requests per week. Ensuring that complaints, requests for repairs, and concerns are handled in an expeditious manner.
Ensuring and maintaining compliance to Campus Residences' policies and procedures and respective resolution of issues/complaints/concerns regarding University-provided Residence Hall and public lounge furniture.
Ensuring that each Residence Hall room/suite/apartment is adequately stocked and furnished per University standards prior to the start of each semester, and properly maintained throughout the term.
Ensuring that the Warehouse Maintenance Assistant and Student Assistant Work Crew teams are properly staffed for daily operation and that all personnel are properly trained.
Directing activity at the loading bay/receiving area for incoming and outgoing deliveries, which include Residential Mailroom shipments requiring a working partnership with the Coordinator of Residential Mail Services.
Maintaining knowledge of safety regulations pertaining to the operation of material handling equipment, such as a forklift and electric pallet jack.
Delegate and oversee the routine inspections and repairs/replacements of Residence Hall appliances and furniture, including couches/loveseats, bed/bed frames, microwave ovens, micro-fridges, ranges, refrigerators, electrical systems, including testing outlets for proper voltage, grounding, and polarity to ensure compliance with safety standards, utilizing electrical testing equipment to identify and troubleshoot faulty outlets, including GFCI functionality.
Oversee the routine maintenance of laundry equipment and installation of new equipment.
Oversee the repair and maintenance of all residential appliances in apartment kitchens, and building common kitchens.
Assist with the supervision, recruiting, hiring, training, and retaining of full-time support and part-time student staff.
Managing inter-office, inter-agency, and community mail route schedules, including Residential Mailroom parcel transport to each residential mailroom location on the East and West campus, as well as transfers of parcels between mailroom locations.
Cross-trained to serve as backup customer service in the Residential Mailroom. Maintain working knowledge to properly verify and issue packages from the mailrooms.Assist with the management of parcel locker repairs, as needed.
Providing support and guidance on all furniture-related inquiries between students/staff.
Acting as the main point of contact and providing leadership to all Warehouse Maintenance Assistants.
Establishing a consistent Residence Hall experience, ensuring each resident has the proper standard of furnishings no matter where they live on campus.
Work alongside Central Receiving on all shipment-related challenges.
Assist in Coordinating and implementing functions with outside vendors, contractors, and staff to ensure compliance with contracts and work quality as needed for Campus Residences' property control functions.
Assist with ensuring the proper handling and distribution of residential mail received on campus in accordance with Federal law.
Administration
Performing daily, weekly, monthly, and annual inventory audits, accounting for Warehouse equipment and supplies. Accurately and securely maintain the physical inventory of Campus Residences' equipment, furniture, and supplies in accordance with applicable guidelines.
Assisting with the purchasing of all Residence Hall and Campus Residence Office furnishings, as well as Warehouse supplies and equipment, and the reconciliation of financial reports for Warehouse purchasing budget(s).
Promptly addressing performance issues with appropriate measures and discretion. Identify areas needing corrective action and formulate steps for improvement.
Managing staff scheduling for all locations.
Managing and ensuring accurate collection of data related to parcels and processes for the Warehouse operation.
Processing supply requisitions for areas in compliance with divisional guidelines.
Following up with the Campus Operations/Residential Operations, Division of Information Technology, and other campus partners to ensure that work requests are completed in a timely fashion.
Managing the fleet of departmental vehicles; maintaining service records and scheduling service with Campus Automotive Services whenever necessary.
Professional Development and Committee Involvement
Participate in opportunities that promote their learning, growth, and development (i.e., classes, training, committees, webinars).
Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your department (e.g., campus-wide traditions, events, programs, etc.).
Other duties or projects as assigned as appropriate to rank and departmental mission.
Evening and weekend work will be required at times.
Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $4000 UUP annual location pay, paid biweekly.
