Position Summary: The office accounting assistant has primary responsibility to provide thorough accounting and maintain inventory. Office accounting assistant maintains a friendly office atmosphere ran with professionalism in all aspects. Each job must be run with accuracy, courtesy, and timeliness.
Principal Duties and Responsibilities:
Secretarial duties include but are not limited to the following:
Answer phone quickly and in a friendly manner
Treat customers with respect. Customers should not wait unattended
Make point of contact sales
Record all orders, projects, and repairs on proper paperwork
Take detailed messages including date and response needed
Follow basic internet etiquette and email procedures
Help maintain clean, organized office
Accounting duties include but are not limited to the following:
Payroll including all liabilities and taxes, etc.
Accounts receivable and accounts payable
Prepare deposits, reconcile all banking statements, etc.
Maintain accurate, thorough records for tax reporting purposes
Create and maintain backups of all QuickBooks accounts
Create and maintain petty cash
Maintain cash draw balance and money for making change
AC U-Stor - Bookkeeping, Process Payments, Keep updated records
Office Assistant duties include but are not limited to the following:
Process incoming orders
Maintain inventory
Perform all other duties as assigned
Knowledge, Skills, Abilities:
Excellent computer skills and people skills. Knowledge of QuickBooks. Position requires good mathematical ability, basic computer skills, accounting knowledge, and secretarial skills. Possess detail-oriented skills. Plan well in advance to keep production running smoothly and efficiently.
Work Relationship and Scope:
Reports directly to Office Manager. Daily interactions with employees, management, venders, and customers. Report absences to Office Manager.
Working Conditions:
This position works on occasion in a production environment with the risk of injury. Some safety equipment must be worn when working near equipment. Manufacturing facility is not climate controlled. Bending, lifting, and pushing up to 30 pounds may be required.
