Position Summary:

The Part-time Administrative Assistant will provide critical support to the Executive Director and the organization by managing day-to-day administrative tasks, coordinating program logistics, maintaining donor and volunteer records, and ensuring efficient office operations. This role is essential in helping our company achieve its mission by ensuring our internal processes run smoothly and effectively**.

Key Responsibilities:

Administrative Support:**

Deliver exceptional administrative support to enhance daily operations.

Provide comprehensive support to executives and team members.

Manage calendars, schedule appointments, and coordinate meetings with a high degree of efficiency.

Maintain organized filing systems, both physical and digital, for easy access to information.

Perform data entry tasks accurately and efficiently using Google Suite and QuickBooks.

Prepare, review, and edit reports, presentations, and communications with precision and professionalism.

Support the team with personal assistant tasks when necessary.

Donor and Volunteer Management:

Update and maintain donor and volunteer database.

Assist in preparing donor acknowledgment letters and reports.

Support fundraising efforts, including event planning and tracking donations.

Financial and Office Management:

Assist with basic financial tasks, including processing invoices, tracking expenses, and reconciling receipts.

Maintain office supplies and equipment, ensuring the office environment is functional and welcoming.

Qualifications:

Proven experience as an Administrative Assistant or in a similar role.

Demonstrated experience in administrative support or relevant transferable skills.

Strong organizational skills with the ability to prioritize tasks effectively.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite applications (Docs, Sheets, Drive) is essential.

Familiarity with QuickBooks is a plus but not mandatory.

Experience with video conferencing platforms such as Zoom, Microsoft Teams, and FaceTime.

Excellent written and verbal communication skills for clear and effective interactions.

Ability to handle sensitive information with discretion and confidentiality.

A proactive attitude towards problem-solving and multitasking.

Strong work ethic, reliability, and attention to detail, supporting overall team and organizational success.

Workweek Details:

25hrs a week. Occasional evening or weekend hours may be required for special events.

Shift: Days and Varied

Pay Details:

$15 per hour

Background requirements: Successful completion of a background check and drug screen are required for employment. (Due to the nature of the employer's business, company policy requires that candidates having criminal backgrounds will not be considered for employment.)
