The successful candidate will play a critical role in ensuring the smooth operation of our office and contribute to our ongoing success.

Responsibilities:

General Administrative Support: Provide comprehensive administrative support, including answering phones, managing correspondence, and coordinating office communications. Serve as a primary point of contact for clients and visitors, ensuring a professional and welcoming atmosphere.

Data Entry and Record Keeping: Accurately input and maintain data in company databases and filing systems. Ensure that all records are up-to-date and organized, enabling easy retrieval and efficient information management.

Scheduling and Coordination: Assist in scheduling appointments and meetings, coordinating with team members and external parties to optimize timing and resources. Prepare meeting materials and agendas, and take minutes as necessary.

Office Management: Monitor and order office supplies to ensure smooth operations. Liaise with vendors and service providers to maintain office equipment and facilities.

Customer Service: Provide excellent customer service by addressing inquiries, resolving issues, and maintaining positive relationships with clients and business partners.

Project Assistance: Support various departmental projects by gathering information, conducting research, and assisting in project planning and execution. Collaborate with team members to ensure project goals and deadlines are met.

Financial Support: Assist with basic financial tasks such as processing invoices, tracking expenses, and preparing financial reports. Work closely with the finance team to ensure accuracy and compliance with company policies.

Reporting: Compile and generate reports on various aspects of office operations, including productivity, efficiency, and inventory levels. Analyze data to identify trends and recommend improvements.

Communication: Draft, proofread, and edit documents such as letters, presentations, and reports for internal and external distribution. Ensure all communication reflects the companys standards and brand voice.

Event Planning: Assist in organizing company events, meetings, and seminars, including coordinating logistics, preparing materials, and managing RSVPs.

Qualifications:

High school diploma or equivalent; additional education or certifications in office administration or related fields is a plus.

Proven experience in an administrative or office support role, preferably in a similar industry.

Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

Bilingual (English/Spanish) with excellent verbal and written communication skills.

Strong organizational and time-management skills, with acute attention to detail.

Ability to work independently and as part of a team in a fast-paced and dynamic environment.

Demonstrated problem-solving skills and a proactive approach to identifying and addressing issues.

Professional demeanor and the ability to handle confidential information with discretion.
