Job Description:
Are you someone who thrives in a fast-paced environment and takes pride in keeping operations running efficiently? As an Administrative Assistant supporting the Olympic Pipeline District Operations Manager and the operations broader team, you'll play a key role in enabling the success of daily activities across multiple locations. From coordinating vendor relationships and supporting payroll processes to assisting with compliance tracking and organizing team logistics, your contribution will be important. Key Accountabilities:
Comprehensive administrative support for operational leadership and team members, ensuring documentation, scheduling, and logistics are well managed
Procurement coordination including vendor onboarding, purchase orders, invoice resolution, and expense reconciliation
Payroll assistance via Maximo and Kronos, ensuring timely and accurate time entry, issue resolution, and recordkeeping
Monthly and quarterly reporting of compliance and operational data, including OSHA logs, permit documentation, and excise tax filings
Organization of site visits, team meetings, and trainings - including travel booking, meeting logistics, catering, and safety requirements
Gate security administration and access coordination for sites across the South, Central, and North areas as needed
Inventory management of office and safety supplies; work with vendors to replace or maintain equipment
Support for new employee onboarding - system setup, workspace preparation, and coordination with internal teams
Participation in emergency response efforts, including drill scheduling, documentation, and safety plan updates
Oversight of document control systems and internal communications, including bulletin boards and controlled postings
Requirements:
Minimum of 8 years in an administrative or operational support role within the Oil & Gas Industry
High school diploma or equivalent required
Proficiency in Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint
Experience with timekeeping, procurement, or expense management systems (such as Maximo, Kronos, SAP Concur)
Strong organizational and multitasking abilities with a keen attention to detail
Ability to handle sensitive or confidential information with integrity
Effective communication and problem-solving skills
A team-focused approach and a willingness to take initiative

How much do we pay (Base)? ($77,000 - $104,000)
*Note that the pay range listed for this position is a genuinely expected and reasonable estimate of the range of possible base compensation at the time of posting.?
This position offers paid vacation depending on your years of relevant industry experience and will range from 120 - 240 hours of vacation per year for full times employees (60 - 240 hours of vacation per year for part time employees). You will also be eligible for 9 paid holidays per year and 2 personal choice holidays.
