Description
The San Mateo County Parks Department ("Parks Department") serves approximately three million visitors each year. Visitors have many options when visiting the County's vast parks system. With 24 parks and recreation areas, over 16,000 acres of park land, 190 miles of trail, ten playgrounds, nine campgrounds, and countless picnic sites the Department provides healthy outdoor activities, educational opportunities, and lasting memories.
We are seeking a dynamic and detail-oriented Administrative Assistant who excels at authentic community engagement and is committed to supporting equitable programming. This position plays a key role in maintaining organized administrative systems, supporting community conversations, updating internal processes, and ensuring smooth day-to-day operations.
Key Responsibilities:
Community Engagement & Communication:
Foster and maintain genuine conversations with community members, stakeholders, and partners.
Represent the department with warmth, professionalism, and cultural sensitivity.
Support outreach efforts and assist in coordinating community-focused events and initiatives.
Administrative Support:
Maintain and update internal policies and procedures to reflect current practices and compliance needs.
Track and organize documentation, correspondence, and project records.
Support scheduling, meeting preparation, and note-taking.
Program & Equity Support:
Assist with planning and logistical coordination of community programs, especially those focused on equity and inclusion.
Collaborate with program leads to ensure equitable access and culturally responsive practices.
Financial and Operational Tasks:
Process invoices, track expenditures, and support basic budgeting tasks.
Help manage vendor communications and contract documentation.
Ideal Candidate Qualities:

Qualifications
Departmental Status:
An applicant must be a current County of San Mateo employee of the Parks Department, with at least 1040 hours (equivalent to six months) of continuous service in a classified regular, probationary, or extra help/limited term position prior to the final filing date may apply.
Knowledge of:
Working knowledge of sub-professional accounting, bookkeeping and fiscal procedures.
Modern office methods and equipment.
Skill/Ability to:
Learn quickly the laws governing the operations of the department.
Interpret laws.
Good judgment.
Get along well with others.
Plan, organize, and supervise the work of subordinates effectively.
Work well without close supervision.
Education and Experience:
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:
Graduation from an accredited college or university, with a degree in Public Administration, Accounting, Political Science, Business Administration or related field OR four years of responsible administrative or supervisory clerical experience which has included bookkeeping or sub-professional accounting duties.

Departmental Promotional Only. Only current County of San Mateo employees in the Parks Department with at least six months (1040 hours) of continuous service in a classified regular, probationary, or extra help/limited term position prior to the final filing date may apply. A supplemental application form must be submitted in addition to our regular employment application form.
The examination process will consist of an application screening based on the candidates' application and responses to the supplemental questions. Candidates who pass the application screening will be invited to a panel interview (weight: 100%). Depending on the number of applicants, an application appraisal of education and experience may be used in place of other examinations or further evaluation of work experience may be conducted to group applicants by level of qualification.All applicants who meet the minimum qualifications are not guaranteed advancement through any subsequent phase of the examination. All examinations will be given in San Mateo County, California and applicants must participate at their own expense.
