Description

We are looking for a skilled Senior Administrative Assistant to join our team on a contract basis. This hybrid position combines both on-site and remote work, with Wednesdays designated as mandatory on-site days. The role requires someone who is detail-oriented and capable of managing administrative operations efficiently while supporting senior leadership and contributing to the success of various organizational projects.

Responsibilities:

Process purchase orders and expenditure reports, ensuring accuracy and compliance with company policies.

Maintain accurate absence records and handle related documentation.

Coordinate travel arrangements for staff and leadership, including bookings and itineraries.

Manage payroll processes and oversee student employment records.

Handle calendar management for senior leadership, scheduling meetings and resolving conflicts.

Plan and organize division special events, ensuring logistical arrangements meet high standards.

Assist in the coordination and implementation of projects, programs, and committees under supervisor direction.

Provide administrative and office management support, maintaining smooth daily operations.

Deliver secondary support for programmatic needs across the division.

Collaborate with internal teams to ensure high-impact practices are executed effectively.

Requirements - Proficiency in financial services tools such as ADP and Concur.

Experience with CRM systems and calendar management.

Strong communication skills, including the ability to coordinate conference calls and meetings.

Familiarity with platforms like Cisco Webex Meetings and About Time.

Knowledge of budget processes and expenditure tracking.

Ability to plan and execute events with attention to detail.

Demonstrated experience in administrative support roles.
