Administrative Accounting Assistant

Description We are looking for an organized and detail-oriented Administrative Accounting Assistant to support our sales, service, and accounting teams in Utica, New York. This role involves managing billing processes, assisting with financial transactions, and maintaining office efficiency. The ideal candidate will have a strong background in accounting practices and exceptional communication skills.

Responsibilities:

Prepare and process invoices with accuracy and attention to detail.

Support customer service efforts by addressing billing inquiries and resolving discrepancies.

Assist the Business Office Manager in maintaining smooth daily office operations.

Provide backup assistance for accounts payable and receivable tasks, including coding and entering transactions.

Manage cash flow entries for payments and receipts as required.

Organize and maintain financial records through filing and document management.

Receive and sort incoming mail related to accounting processes.

Collaborate with team members to ensure timely and accurate financial reporting.

Perform data entry tasks to update and maintain accounting systems. Requirements - Minimum of 2 years of experience in accounting or a related field.

Proficiency in accounts payable (AP) and accounts receivable (AR) processes.

Strong skills in invoice processing and billing procedures.

Ability to reconcile accounts and manage financial discrepancies.

Experience with data entry and maintaining accurate financial records.

Proficiency in Microsoft Excel for financial tracking and reporting.

Effective communication skills and the ability to work collaboratively with teams.

Strong organizational skills and attention to detail.
