Summary Statement
Provides legislative and administrative support for the City of Boise Clerk's Office and attends city council and/or other board and commission meetings to provide technical and administrative support. Assists with projects, responding to public records requests, and judicial reviews. Serves as a back-up for supervisor and/or records. This position works under direct supervision.
Essential Functions
Handles moderately complex issues and problems and refers more complex issues to higher-level staff. Is capable of performing all duties of an Administrative Assistant I and provides team support and training, as needed.
Provides administrative, technical, and legislative support for Boise City Council and other legislative bodies. Sets up and tears down meetings, assists with scheduling. Responsible for clerking City Council and board and commission meetings and documenting motions and votes in compliance with Statute 74-206. Prepares and distributes meeting agendas and minutes. Manages public notices and other records including securing signatures, processing official city documents, notarizing, and coordinating timely document recording with government agencies. Proofreads legal notices and maintains updates to the city code. Routinely handles information of a sensitive or confidential nature.
Reconciles financial transactions, including deposits, payments and account adjustments. Collaborates with finance, purchasing, IT and external vendors to process payments through various systems and ensure timely reconciliation. Trains staff on deposit procedures.
Schedules meetings, reserves rooms, and sends invitations on behalf of leadership. Manages legislative management software accounts, training and troubleshooting. Updates SOPs in the process manager and maintains training records. Processes cemetery deeds, manages P-cards and assists with travel arrangements. Supports team training, resolves issues and generates reports as needed. Assists with weekly restocking.
Scans, indexes and manages electronic records for deposits, council activities, boards, commissions and departmental operations. Conducts research related to special projects and provides research reports. Researches and retrieves documents and serves as a backup for records center projects. Performs other data entry as needed.

Requirements
Required Knowledge, Experience, And Training
High school diploma or equivalent and two years of progressively responsible experience performing administrative or clerical support duties in a departmental or operational group.
Knowledge of: general office equipment, equipment operations and telephone etiquette; general office practices and procedures; accurate and proper grammar, punctuation and spelling; basic accounting principles and general customer service techniques; and computer usage including related software.
Ability to: read and understand complex laws and other written documents; 10-key by touch; apply basic math; receive, comprehend and follow verbal instructions; communicate effectively in the English language at a level necessary for efficient job performance; and perform all essential functions as assigned by an authorized employee, supervisor and/or manager with or without reasonable accommodation
Preferred Knowledge, Experience, And Training
Two years of experience in e-Recording systems.
Licensing And Other Requirements
Valid state-issued drivers license
