Basic Function
Ramsey County is hiring Limited-Duration Administrative Assistants for the Financial Assistance Services Department.
To perform administrative support functions for office support or customer service activities, and responsibilities are typically based with defined goals and processes or methods. Job duties may include records maintenance, public contact and general office services; and to perform related duties as assigned.
Flexible Workplace
This position is identified under the designation of 'flex work eligible', meaning that the employee can formally opt to be in-office full-time or work a flex schedule in which at least two-days per week are performed in office and other days can be performed in a remote-first environment. Regardless of selection, the position carries expectations regarding on-site responsibilities and will require schedule flexibility beyond the minimum expectations set forth in the county's flexible workplace policy. The main duties include:
Answer calls within a call center.
Provide clerical support to internal and external customers to ensure delivery service from a Financial Assistance Services section.
Work with systems such as, Laserfiche, CaseWorks, Mnbenefits, METS, Maxis, MEC2 and CAFE
Scanning and verifying documents.
May include public contact at Service Center(s) on a rotational basis.
Case creation and/or application assignment using MN Benefits, Maxis, Café, and CaseWorks.
To perform clerical support functions relating to the activities of the MNsure area such as: CaseWorks scanning and indexing in METS DocBoxes , prepping mail, registering applicants into the METS (MNsure) system, Maxis person research, processing returned mail, and other duties as assigned.
To perform duties relating to forms and records maintenance using various computer systems and programs such as MAXIS, MMIS, CAFÉ, CaseWorks, METS , and Microsoft office.
Examples of Work Performed
Perform duties relating to forms and records maintenance such as gathering documents and information to establish, maintain and update files; searching files for information; maintaining departmental records and statistics; opening, maintaining and closing case files.
Perform public contact duties such as receiving and routing phone calls; responding to complaints, inquiries and service requests by phone and in person; directing clients or visitors to proper locations; assisting the public in completing forms; verifying information and data; scheduling appointments for clients or staff; and assigning service requests to program units or staff in accordance with established guidelines.
Perform general office services to include opening, sorting and distributing mail and preparing outgoing mail; preparing and sending form letters and composing routine letters; scanning documents; and related duties.
Perform administrative functions in unit assigned, such as maintaining inventories of office supplies; preparing, or processing contracts/agreements, reimbursements, requisitions, purchase orders and accounts payable forms; generating reports; preparing , checking or processing bills to patients, clients or other agencies; processing payments; and maintaining and balancing accounts.
Receive, sort, and distribute a variety of correspondence, deliveries, and mail; and scanning and faxing documents.
May provide training and support to incoming employees.

Minimum Qualifications
Education: High school graduation or equivalent.
Experience: Three years of related clerical or customer service experience.
Substitution: None.
Exam/Screening Process Information
This is a Limited Duration, at-will position. This position requires an open screening and selection process. All applicants who meet the minimum qualifications will be forwarded to the hiring department for further consideration.
Definition of Unclassified from the Ramsey County Personnel Act:
Subdivision 1. General. "The appointing authority may discharge employees in the unclassified service with or without cause. Employees in the unclassified service have no right to a grievance appeal from discharge or other disciplinary action under sections 383A.281 to 383A.301. An employee in an unclassified position shall not have tenure but shall be entitled to all benefits associated with tenure such as vacation leave, sick leave, health insurance, and other benefits as determined by the county board."
