Duties Description Assist in the supervision of all clerical staff in the registration and scheduling of outpatient services when requested and assist in outpatient clerical staff training, schedules and adherence to clerical procedures. Assist in the maintenance of the Meditech system and in the training of Meditech to staff. The incumbent in this position will be responsible for assisting in the continued education of staff members in terms of hospital policy, daily operations and computer applications. Will perform QM management within the registration process, reporting results to direct supervisor and assisting in developing task lists for continued training. This individual will need problem-solving skills and be able to apply them in a professional manner when interacting with patients and staff members, and other duties as assigned.
Minimum Qualifications Reassignment: Current New York State Health Helen Hayes Hospital employee with permanent, contingent-permanent or 55-b/c status as an Administrative Assistant Trainee 1, Administrative Assistant Trainee 2 or Administrative Assistant 1.Transfer: Current New York State employee with one year or more of permanent, contingent-permanent or 55-b/c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.Provisional/NCP: Current New York State Department of Health employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Office Assistant 2 (Keyboarding), Office Assistant 2 (Keyboarding - Spanish Language) or in a title qualified to take the Administrative Assistant Trainee 1 promotion examination (see https://www.cs.ny.gov/announarchive/announcements/38-701.cfm?live=false).NY HELPS:Administrative Assistant Trainee 1: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.Administrative Assistant Trainee 2 (Grade 10): One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.Administrative Assistant 1 (Grade 11): Two years of the above experience.A certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.Preferred Qualifications: 3-5 years of experience with registration and scheduling in an outpatient setting. Experience with registration and scheduling modules of Meditech and experience training staff in Meditech registration and/or scheduling. Excellent verbal communication skills; ability to effectively multitask; detail-oriented; ability to work in a fast-paced environment. Knowledge of outpatient insurance requirements in scheduling and ability to problem-solve difficult cases. Knowledgeable in the Phresia outpatient system, being able to read and utilize the system daily. Familiarity with all steps of Meditech registration, Medicare and other insurance requirements to accurately register, train and perform quality measure checks. Ability to produce quality measurement intake in an outpatient setting for reporting to a supervisor and identifying departmental training needs.

To be eligible, candidates must be an employee of the Department of Health Helen Hayes Hospital and have one year of permanent competitive service in a clerical title allocated to Grade 6 and above; and completion of a two-year traineeship.A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect. If placed at a trainee level, trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, Grade 11.The posted salary range ($51,695 - $62,447) includes $4,000 of Downstate Adjustment.This position is part of the NYS HELPS program. No examination is required.
