Primary Objective of Position:

Manages multiple accounting functions and operations such as Accounts Payable, Expense Management Systems, etc. Compiles financial data to aid the Controller in the preparation of balance sheets, profit and loss statements and other financial reports. Assists in analyzing current costs, revenues, financial commitments, and obligations incurred to predict future revenues and expenses. Acts as back up to accounting department functions including accounts receivable, estimating, and payroll processing. This position is responsible for handling personnel and financial information and must ensure its confidentiality.

Duties and Areas of Responsibility by Function

Accounts Payable

Leads the set up and maintenance of vendor accounts within accounting software ensuring proper onboarding forms are distributed and completed accurately by new vendors (i.e., Form W-9 or W-8, Form 6200 Automated Clearing House (ACH) Authorization, etc.).

Responsible for timely and accurate data entry of incoming invoices and processing of outgoing payments via electronic and paper check as necessary.

Assists with verification of goods and services charges via purchase order review and invoice approval routing as needed.

Acts as main point of contact for vendor inquires on payment status of invoices, including providing payment remittance statements as well as indicating if an invoice is in dispute requiring resolution with an EBI purchaser.

Assists with ensuring appropriate sales and use tax is applied and paid on vendor invoices.

Leads the annual preparation of vendor related tax documents including 1099 form preparation, distribution, and filing activities for EBI ensuring accuracy, completeness, and timeliness.

Assists in pricing vendors and securing any discounts available to the company.

Expense Management System

Administrator of company's electronic expense tracking platform (TravelBank)

Create new users and terminate previous users

Responsible for training and troubleshooting employee issues with applications and software

General Accounting Functions

Responsible for completing month end reconciliations for all accounts.

Manages Sales & Use tax accruals/payments, state tax account setup

Responsible for various reports including but not limited to Federal, State, and local reporting, financials, IRA prevailing wage, oversight of outsourced corporate annual filings, etc.

Assists Controller in creating departmental and overall company budgets.

Partners with Project Development to assist with and review estimating and proposals.

Conducts adhoc research and development as needed to support various functions within the Accounting department. This may include but is not limited to improved efficiencies using Excel, job costing, estimating, etc.

Assists Controller and Accounting department with various projects and reports as needed.

Software

Responsible for utilizing ERP system to complete accounting related duties.

Researches efficiencies to utilize in our ERP system including but not limited to functions that auto route for invoice approval, additional modules, assist with implementation of project management software.

This position may be responsible to assign field log users in ERP system for union employees.

Payroll

Acts as a backup to payroll as needed. Payroll is expected to be completed timely and accurately for both union and non-union employees.

Partners with department managers as needed to gather the correct information to review payroll and process accordingly.

Emergent Availability

This position requires intermittent availability during weekends, evenings, and early mornings for emergency projects. This does not restrict the use of their time off from work and will only be required to report to work when emergency jobs are prevalent.

Apparent or assigned

Performs works as apparent or as assigned.

Supports the effort of ISO 9001 and process improvement by recommending methods, equipment, techniques, and other changes to improve company operations. Participates in internal audits, risk assessment, and corrective actions as required.

Qualifications for Entry:

Associate degree in related field and/or the equivalent combination of education and experience.

3-5 years' of directly related work experience.

Strong knowledge of multi-state wage and hour, and tax laws.

Proficiency with computers and bookkeeping software, specifically Foundation, MS Windows, XP (Word, Excel, Outlook)

Exceptional time management and verbal and written communication skills.

Ability to multitask and remain motivated and positive.

Commitment to working efficiently and accurately.

Ability to exercise diplomacy, judgement, and discretion, particularly related to sensitive or confidential information.
