Summary

This position is responsible for adhering to best practices in managing and producing accurate student academic records while ensuring compliance with College policies and the Family Educational Rights and Privacy Act (FERPA). This position performs specialized tasks that rely heavily upon a functional knowledge of and ability to manage multiple technical systems, including the student information system and third party software systems.

Qualifications

Associate's degree or two years of college, or specialized course of training equivalent to two years of college (Required)

Minimum of 2 years of customer service experience (Required)

Degree audit experience (i.e. DegreeWorks) (Preferred)

Experience coordinating graduation or similar event (Preferred)

Experience presenting to groups (Preferred)

Experience with training (Preferred)

Registrar's Office or Higher Ed Experience (Preferred)

Essential Responsibilities

(Critical) Serves as School Certifying Official and official contact person regarding Veterans Administration Education Benefits, adhering to the rules and regulations as contained in the VA School Certifying Official Handbook. Ensures the College is in compliance with regulations pertaining to VA students. Serves as a school liaison between the student and the department of VA by researching and resolving issues with student claims, billings, nonpayment, changes in attendance and reporting graduation. (Critical) Schedule and report student enrollment and degree data to National Student Clearinghouse; resolve discrepancies; assist with annual audits, work with auditors, provide data, research and answer questions on student enrollment status. (Critical) Manages and maintains the course grading system to include midterm and final grade entry and the training of faculty and staff on course grade/alert(s) entry to ensure timely access for students. (Critical) Assists with processing of transfer, advanced placement, assessment and other credits. (Critical) Coordinates data and processes required for students to acquire a degree/certificate. Audits the records of all degree/certificate applicants for fulfillment of program requirements and notifies students of audit results. Maintains all graduation files and coordinates commencement activities. (Critical) Coordinates general office technology requirements with Information Technology Services (ITS); such as Banner Student upgrades, technical issues, and web services, etc. (Critical) Assists and advises students, faculty, staff and the public concerning policy and procedural issues related to the enrollment process, course registration, record handling, and other requirements that support the institution's enrollment goals. (Critical) Knowledge of college academic calendar, policies, procedures and appropriate federal and state laws and guidelines related to student records and reporting. (Very Important) Processes course registrations, drops, adds, student ID and program changes. (Very Important) Coordinates the continuous improvement of automated processes to enhance student experience. (Very Important) Collaborates with other Records & Registration Specialist to ensure cross training and optimal office coverage. (Very Important) Attends training/webinars/conferences to remain current on job responsibilities. (Very Important) Creates and/or updates manuals for operations, contact lists, and departmental procedures.
