Job Summary: The Administrative Assistant is responsible for the general day to day administrative operations of the office as well as assisting in the accounts receivable process for the location. This position will also support the operations team. Essential Duties & Responsibilities: Assist with answering phones and scheduling Assist leadership with daily tasks Confirm appointments with clients and conduct follow up as needed Maintain adequate supplies and food levels in the office kitchen Order office supplies as needed while remaining fiscally responsible Maintain company vehicle registrations Other office duties as assigned Send out initial emailed request for payment to the customer Accept client payments and post payments into inventory and Quickbooks Follow up with customers in a timely manner as it relates to the receivable process Maintain accurate and timely records in the inventory software and Quickbooks Clearly communicate statuses and foreseen issues to supervisor Coordinate with applicable team member to assist with customer questions regarding payments Maintain accurate and timely records for all accounts receivable reports, spreadsheets, and corporate accounts receivable files. Skills and Abilities Required: Minimum High School Diploma or GED Strong customer service skills Microsoft Office Suite Excel, Word, Outlook Attention to detail Must be able to interact with managers and employees Must be able to prioritize work Self-starter and be able to work independently Technical Capacity Communication Proficiency Ethical Conduct Time Management Skills and Abilities Preferred: Accounts receivable experience strongly preferred Minimum 2 years of Quickbooks experience strongly preferred Minimum 2 years of Netsuite experience preferred Additional Information BRAVAS offers competitive salaries, bonuses, medical/dental/vision insurance, prescription drug coverage, health savings account, flexible spending accounts, 401(k) plan, PTO and holiday pay.
