In this role, you will provide administrative assistance to ensure the efficient operation of our office. You will support managers and employees through a variety of tasks related to organization and communication. The ideal candidate is resourceful, proactive, and capable of handling multiple tasks with a high degree of professionalism.
Key Responsibilities:
Administrative Support:
Manage and maintain executives schedules, appointments, and travel arrangements.
Coordinate meetings, prepare agendas, and compile minutes.
Handle incoming and outgoing correspondence, including emails, memos, and faxes.
Office Management:
Maintain a systematic filing system for essential records and documents.
Oversee inventory of office supplies and order new materials as needed.
Ensure the office environment is neat and professional.
Communication and Coordination:
Serve as the primary point of contact between departments, employees, and external partners.
Draft, format, and distribute communications on behalf of the company.
Facilitate internal communication, ensuring information flows efficiently between all levels of staff.
Data Management:
Input, update, and maintain databases and records for accurate reporting.
Generate reports and prepare presentations based on gathered data.
Assist in the preparation and editing of documents, reports, and presentations.
Special Projects:
Provide assistance on special projects and initiatives as directed by management.
Adapt to the evolving needs of the company and take on additional responsibilities as required.
Qualifications:
High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
Proven experience in an administrative role, preferably with a focus on office management and coordination.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize tasks in a fast-paced environment.
Discretion and confidentiality in handling sensitive information.
