Summary Description:
Reporting to the Department Manager, the Warehouse Coordinator is responsible for overseeing the accurate and timely loading/unloading of products or materials to/from carrier trailers, coordinating yard movements, managing external transfers, maintaining an efficient shipping/receiving schedule and entering information on incoming & outgoing goods and services into the manufacturing computer system. Depending on site needs, the Warehouse Coordinator may handle any combination of receiving, shipping, scheduling & dispatching or focus exclusively on one of these functions.
Essential Job Functions:
Adhere to all health and safety policies/procedures, Good Manufacturing Practices (GMPs) and wear the required personal protective equipment (PPE) while in the warehouse or production areas (including but not limited to hairnets/beard nets, safety glasses, hearing protection, hard toe and slip/oil resistant shoes, appropriate safety gloves, and seatbelts while operating forklifts).
Responsible to adhere to food quality and food safety as per the standard(s) provided by corporate, customer, and/or governing bodies (ex. SQF).
Checks in carrier drivers, assigns dock door, dispatch and coordinate yard trailer moves.
Maintain accurate records of all loaded drop trailers in the yard by conducting yard checks and issuing daily status updates to required departments, process appropriate paperwork (i.e. Trailer sheets). Ensure loads scheduled are released for loading.
Perform shipping/receiving administrative duties (filing, prepare reports, clerical tasks)
Coordinate raw materials deliveries for production as needed by site; verify against packing lists and COA's.
Coordinate with Customer Service to make sure enough product is available for the required ship date.
Perform daily verification of raw materials, concentrates, ingredients, packaging materials and pallets to ensure successful completion of the upcoming production schedule as needed by site.
Coordinate dunnage and recycling inbounds as well as DOMR or raw materials; ensure efficient loading of dunnage trailers
PGI all finished good shipments when they ship and send necessary paperwork (i.e. Bill of Lading or STO's) to Co-pack plants.
Prepare Bill of Lading or customs information and prepare paperwork for invoicing and complete post goods issue transaction into SAP.
Using the dock schedule, verify with carriers that appointments are available (if applicable). Reschedule if no-show.
Perform daily cycle counts and recounts on raw materials as directed, or work with Inventory Control personnel as needed by site.
Review documentation for completeness of deliveries and ensure that any short or inaccurate deliveries are documented and followed up. Inform management of all discrepancies in inventories for raw materials.
Ship lab samples or other packages as required (nationally/internationally) via Courier Service
Perform daily checks on seals, locks, and potential damage on both loaded and unloaded trailers, focusing on gathering information provided by forklift drivers as well as carrier drivers.
Releases carrier drivers after loading or unloading is complete. Report any driver issues as need.
Monitors shipments, coordinates deliveries, issues shipping instructions, traces and expedites shipments.
Verify order has been completed by forklift operator prior to producing all required paperwork upon load completion.
Coordinate product transport between internal warehouses or to offsite/3rd party warehouses.
Verify pallet counts and @type (Peco, Chep, GMA) and adjust counts in SAP if needed.
Reconcile invoices to purchase orders in SAP Open Text.
Keep receiving docks and raw material storage areas clean and free of debris. Maintain a clean and orderly work area.
Track and communicate door service status; work with Manager/Maintenance to schedule repairs
Assist with dispatching and billing duties, as needed.
Always represents the company in a positive professional and harmonious manner.
Required Skills:
Proficiency with Warehouse Management System and Microsoft Office: Excel, Word, Outlook
Confident computer skills navigating internet and customer portals.
Knowledge of HAZMAT material shipping requirements
Knowledge of D.O.T. specifications for loads, loading patterns and overweight loads.
Valid Forklift certification from a Refresco approved trainer.

Education and Experience:
A minimum High School Certification or equivalent (GED). Associates degree or higher preferred.
2 years minimum warehouse shipping and receiving experience; Experience in Inventory Control or Customer Service is a plus. Food/Beverage Manufacturing is preferred.
Proficiency with SAP: Supply Chain Dynamic Menu / Dock Scheduling / PGI Reporting / Receiving functions
Working Conditions:
Work Schedule: Weekdays, weekends, afternoon, evenings, overnight and holidays may be required. Overtime scheduled as needed.
Work Environment: Operating in a fast-paced production plant with numerous moving parts. High truck volume in the Yard. Noise level requires hearing protection, and temperatures can get very hot / and or relatively cold. The environment is structured and supervised.
Visual/Sensory - This position requires regular need to give moderate attention with one or two senses at a time.
Mental Stress - There is pronounced pressure from deadlines, production quotas, accuracy and or similar demands.
