Job Description

We are looking for a specialist to help administer and manage executive leadership schedules and processes. This work will be supporting the largest utility company on the west coast.

In this role you will be helping coordinate schedules, assign meetings, and align with leadership deliverables. This project will include the following:

Handling office tasks: Filing, generating reports and presentations, setting up for meetings, and reordering supplies.

Scheduling support: Booking appointments and preventing conflicts 1.

Travel arrangements: Booking flights, cars, and making hotel and restaurant reservations 1.

Communication: Screening phone calls and routing callers to the appropriate party 1.

Organizing and scheduling: Planning meetings, taking detailed minutes, and organizing appointments 2.

Document management: Writing and distributing email, correspondence memos, letters, faxes, and forms 2.

Office maintenance: Ordering office supplies, maintaining contact lists, and updating office policies

Skills and Requirements

Extensive years of clerical / administrative / analytical support

Experience working with Excel (V Look Ups, pivot tables, etc)

Experience and understanding of construction management lifecycle (how projects run)

Confidence to lead discussions and drive performance

Ability to work in fast paced environment

Excellent oral and written communication - Experience working with SAP

Prior experience working for this company null
