Educational and Experience Requirement:

Associates degree in related field. Four years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature and Purpose of Position:

Performs complex administrative assistant duties for the Senior Associate Dean for Clinical Integration and the Assistant Dean for Rural Health Education in the Office of Clinical Integration.

Primary Responsibilities:

Collects, reconciles, and maintains office data for the clinical deans. Manages and reports all travel expenses, calendars and schedule. Monitors project timelines, identifies issues, and makes suggestions to improve. Plans and coordinates the clinical deans office driven events such as preceptor events, activities, student focus groups, etc. Coordinates, implements, and documents departmental processes. Purchases, files inventory, and archives records in accordance with records retention policies. Submits invoices and payment requests. Records and publishes minutes for applicable meetings. Maintains pertinent policies and procedures as well as the Clinical Rotation Handbook and the Preceptor Handbook and ensures the documents are accessible and updated. Applies detailed knowledge of university infrastructure, policies, and procedures. Runs reports on expenditures, travel, and other transactions at the college level. Performs other related duties as assigned.

Other Specifications:

Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature. The level and amount of support that is needed by the Office of Clinical Integration continues to grow with the addition of more students, new clinical base sites, preceptors, and regional medical directors. These two deans require an extensive amount of travel and support to maintain the infrastructure of the clinical education enterprise.
