JOB PURPOSE:
Leads and directs the administrative needs of the leader to whom s/he supports as well as three Directors. Forward-thinking and works independently with little to no supervision. S/He demonstrates a high degree of business acumen, sound judgment and discretion in decision-making, problem-solving and project management in a fast-paced, high performance environment. Models a high level of sophistication, confidentiality and integrity due to the highly sensitive nature and/or complexity of the work and associated interactions. S/he acts as a role model to peers fostering teamwork, collaboration, and integration among team members and leaders.
PRINCIPAL ACCOUNTABILITIES:
Provides administrative support to the departments of Accounting and Reporting, Budget, Payroll, and Tax including the invoice submission, purchase orders, approval of time and attendance, mail distribution, filing and maintaining office and kitchen supplies.
Exercises discretion and independent discernment on key issues while assisting the Senior Leader with the execution of daily activities, including handling a complex calendar and related logistics; coordinating travel and processing expense reports
Manages and schedules meetings and appointments, plans participation, provides onsite coordination, technical support, and tracking of action items
Anticipates needs and proactively assembles the appropriate people and resources to solve problems
Manages contacts for the Leader, understands their priorities, and keeps track of communications and needs. Responds promptly to executive queries
Fields incoming requests; exercises strong judgment and discretion with highly confidential information interacting with top-level contacts on highly sensitive information necessitating considerable use of tact, reasoning skills and diplomacy, and communicating and interacting with internal stakeholders and external customers
Leads, drives and executes on various team events, socials, offsite meetings, etc.
Works multi-functionally to ensure communication is efficient and clear between teams
Coordinates logistics for visitors
Prioritizes assignments and tasks with minimal direction and has authority to delegate as appropriate.
Perform a variety of other administrative duties such assisting with projects and presentations as necessary, bulk mailings and budget meeting schedule.
QUALIFICATIONS:
Minimum of an Associate's degree. Bachelor's degree preferred
Advanced secretarial certification is preferred
Minimum of six(6) years of executive administrative experience is required
Must have strong organizational skills and be able to readily shift and adapt to changing priorities and demands
COMPETENCIES:
Must be able to effectively work in a high -volume team environment
Ability to learn new tasks quickly and have excellent problem -solving skills, while meeting daily productivity targets
Must be detail oriented and well organized
Excellent verbal and written communication skills
Individual must be customer and team member focused, must have demonstrated ability to multi-task, and able to work under minimal supervision
Proficiency with Microsoft Office suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams, etc.) is required
