Description

We are looking for a detail-oriented Administrative Assistant to join our team in Hayward, California. In this contract-to-permanent position, you will play a key role in ensuring the smooth operation of our office by managing administrative tasks, supporting internal teams, and maintaining a welcoming environment for visitors. This is an excellent opportunity to contribute to a dynamic organization in the construction industry.

Administrative Assistant Responsibilities:

Welcome and assist visitors with professionalism and courtesy.

Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.

Monitor and replenish office and breakroom supplies to ensure availability at all times.

Maintain the cleanliness and organization of the reception area and breakroom.

Provide administrative support to the Safety Department, ensuring compliance with company protocols.

Collaborate on internal communications and assist with planning and coordinating company events.

Handle special projects and perform additional duties as needed.

Answer and manage inbound and outbound calls, addressing inquiries and directing them appropriately.

Schedule appointments and manage calendars to support efficient workflow.

Requirements - At least 1-2 years of experience in a front desk, receptionist, or administrative role.

Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Strong verbal and written communication skills.

Exceptional organizational skills with a keen eye for detail.

Ability to multitask effectively in a fast-paced environment while maintaining a positive attitude.

A detail-oriented demeanor.

Experience with data entry, email correspondence, and maintaining office supplies.
