Description We are looking for a highly organized and personable Administrative Assistant to join our team in Oakland, New Jersey. This long-term contract position offers the opportunity to support both general office operations and sales team activities. Responsibilities:

Organize and maintain office supplies, coordinate mail and shipping, and ensure common areas are tidy and well-stocked.

Schedule meetings, manage calendars, and assist with planning internal events and logistics.

Perform light bookkeeping tasks, including expense reporting and data entry using Excel.

Provide support to HR and finance teams by managing files, onboarding documents, and other administrative tasks.

Communicate with vendors and service providers to ensure office maintenance and deliveries are handled effectively.

Update and maintain customer data records using CRM software (HubSpot experience is a plus).

Track and report on basic sales metrics to support the team's goals.

Attend sales team meetings to take notes and organize follow-up action items.

Handle inbound and outbound calls, responding to inquiries and scheduling appointments.

Assist with email correspondence to ensure timely communication with clients and internal teams. Requirements - Excellent communication and interpersonal skills.

Proficiency in Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint.

Experience with customer relationship management systems (HubSpot knowledge is preferred).

Ability to multitask and adapt to changing priorities.

Strong attention to detail and a friendly demeanor.

Previous experience in office administration or customer-facing roles is a plus.
