Description

We are looking for a detail-oriented and organized Receptionist to join our team on a contract basis in New York City. In this role, you will be the first point of contact for visitors and clients, ensuring a welcoming and efficient experience. This position requires exceptional communication skills and the ability to manage multiple administrative tasks in a fast-paced environment.

Responsibilities:

Greet clients and visitors, ensuring a detail-oriented and friendly experience.

Assist guests in locating and being escorted to designated conference rooms.

Coordinate meeting schedules using the Condeco system and communicate relevant details.

Manage catering requests and orders for scheduled meetings.

Collaborate with administrative and executive staff to ensure smooth operations.

Assign conference rooms to hospitality staff and oversee room availability.

Handle sensitive or confidential documents with discretion.

Perform ad hoc administrative tasks as needed to support daily operations.

Communicate effectively with management and clients regarding deadlines or job-related concerns.

Sort and distribute incoming mail and deliveries to the appropriate recipients.

Requirements - Minimum of one year of office service experience, preferably in a legal, banking, or corporate setting.

Prior experience as a receptionist, switchboard operator, or administrative assistant is highly desirable.

Strong verbal and written communication skills.

Proficiency in managing multi-line phone systems and transferring calls efficiently.

Ability to book meetings and manage conference room assignments using scheduling software.

Experience in handling catering orders and corresponding with C-suite executives.

Familiarity with sorting and handling incoming mail and deliveries.

Proven ability to maintain confidentiality when working with sensitive documents. TalentMatch®
