With a team of 30 employees, we operate in a fast-paced, collaborative environment. Were looking for a reliable and detail-oriented Administrative Assistant to support both our Purchasing and Accounting departments with day-to-day operations.

Job Summary

The Administrative Assistant will play a key role in ensuring smooth coordination between purchasing and accounting functions. This position involves data entry, document management, vendor communication, invoice processing, and general administrative support. The ideal candidate is organized, proactive, and comfortable working with numbers and systems.

Key Responsibilities

Purchasing Support:

Assist with creating, confirming, and tracking purchase orders

Communicate with vendors to confirm order details and delivery

timelines

Maintain accurate records of supplier information and product

pricing

Help monitor inventory levels and reorder points by analyzing sales

forecasts and historical usage

Support the Purchasing Manager with reporting and documentation

Accounting Support:

Process and file vendor invoices and match them with purchase orders

Assist with data entry for accounts payable and receivable

Help reconcile statements and resolve discrepancies with vendors and

customers

Maintain organized digital and physical records of financial

documents

Support month-end and year-end closing activities

General Administrative Duties:

Answer phones and respond to emails related to Purchasing and

Accounting

Maintain spreadsheets, databases, and filing systems.

Assist with internal audits and compliance documentation.

Perform other administrative tasks as needed to support the team.
