Description We are looking for a skilled Administrative Assistant to join our team in Hopewell, Virginia, on a contract basis. In this role, you will provide essential support to the city clerk and city council, ensuring the efficient preparation and execution of council meetings and related administrative tasks. This position demands strong organizational abilities, attention to detail, and a commitment to delivering excellent public service.

Responsibilities:

Assist the city clerk by serving as a backup for essential tasks and responsibilities.

Provide administrative support to city council members and manage communications across seven different councils.

Prepare and distribute meeting agendas, resolutions, and minutes for weekly city council and planning commission meetings.

Coordinate and schedule meetings, including bid openings, and ensure all logistics are handled efficiently.

Address public inquiries and complaints with professionalism and promptness.

Maintain accurate records of meeting outcomes and resolutions.

Perform data entry and email correspondence to support administrative processes.

Utilize Microsoft Office Suite tools to create and edit documents, presentations, and spreadsheets.

Handle inbound and outbound calls to manage scheduling and provide information to stakeholders. Requirements - Proven experience in administrative roles with a focus on customer service.

Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Strong skills in scheduling appointments and managing calendars.

Ability to handle inbound and outbound calls effectively.

Excellent written and verbal communication abilities.

Experience in data entry and email correspondence.

Strong organizational skills and attention to detail.
