MAIN FUNCTION:
The Laboratory Administrative Assistant is responsible for working in a self-directed manner to complete a wide variety of daily, weekly, and monthly tasks necessary for the operation of the department and the rendering of patient care. Under the direction the Systems Director of Laboratory Services, the Laboratory Administrative Assistant provides support for special projects, audits, or other non-routine departmental assignments, and serves as the Laboratory Safety Officer under the Direction of the Systems Director of Laboratory Services.
DUTIES AND RESPONSIBILITIES:
** 1. General Responsibilities
a. Organizes and prioritizes workload.
b. Is familiar with and maintains all regulations appropriate to assigned duties and is ready for unannounced inspections by staff, local, state, and/or federal regulatory agencies. This includes, but is not limited to: Arnot Health, safety, and infection control policies and procedures.
c. Maintains a clean and orderly work environment.
d. Maintains a courteous and helpful rapport when dealing with patients, physicians, nurses, supervisors, visitors, coworkers, and other employees of Arnot Health. In patient relations, maintains respect for the individual. Communicates in a friendly manner. Accepts constructive criticism in a positive manner and works toward solutions to problems .
e. Appearance is always in compliance with dress codes as defined in the Laboratory and Arnot Health policy manuals. Wear Arnot Health name tag in an appropriate location.
f. Respects the privacy of all patients and employees. Medical, financial, or other information is only accessed or discussed as necessary to perform required duties.
g. Contributes individual value to the operation of the Laboratory by reporting to work on all scheduled days. Always ensures continuous coverage of the Laboratory by accepting work assignments, such as shift assignments, overtime, or workstation scheduling changes as defined by Laboratory and Arnot Health policy.
h. Is familiar with and applies all Corporate Compliance policies and procedures related to the position.
i. Is responsible for bringing unusual situations to the attention of the Systems Director of Laboratory Services or the Laboratory Medical Director (s).
j. Is responsible for attending all annual mandatory education programs as required by the position.
k. Provides age-appropriate care to neonatal, infant, children, adolescent, adult and geriatric patients.
** 2. Works proficiently with computer system(s) and computer programs including, but not limited to Microsoft Word, Excel, and PowerPoint, to perform all administrative tasks related to the position.
** 3. Works routinely and independently to verify accuracy of patient demographics, reports, and billing. Responsible for resolution of assigned information system work queues for charge routing, charge routing review, and patient work queues
** 4. Responsible for invoice receipt, coding, and submission to the Director for approval and submission to Accounts Payable for all accounts including the reference laboratories.
** 5. Perform routine work and assists on a wide variety of projects, often running concurrently and with definite time constraints.
** 6. Maintains laboratory employee Human Resource files and the creation of new employee records.
** 7. Compiles data as required by regulation or as necessary to maintain departmental operations. Accesses data from varying sources to provide information about a specific incident, statistics, or a report upon request.
** 8. Ensures that copies of results, reports and specimens are sent to the appropriate physician, location, or laboratory.
** 9. Responds to requests for information from internal, as well as external sources.
** 10. Employee is responsible for maintaining the laboratory supply storeroom, general supply ordering, and proper inventory rotation
** 11. Serves as the Laboratory Safety Officer, including the responsibility of the Chemical Hygiene Officer. The Safety Officer educates new employees, students, and current employees on the Laboratory Safety Program and conducts annual safety training. The Safety Officer:
a. Must review and update all new and revised safety standard operating procedures and policies before implementation.
b. Biohazard risk assessments are conducted for all sections and areas of the laboratory at least annually for the AOMC and IDMH Laboratories.
c. Ensures all laboratory personnel adhere to the established safety standard operating procedures and policies and recommends disciplinary action when warranted.
** 12. As designated by the System Director, the Laboratory representative on standing and ad hoc committees and teams related to safety and the Environment of Care (EOC).
** 13. Maintains the laboratory record retention storage and documentation of records and specimens (i.e., slides and blocks) requiring transport to the laboratory storage facility.
** 14. Is responsible for attending all annual mandatory educational programs as required by position.

EDUCATION:
High school graduate or equivalent required. An associate's degree or higher preferred
EXPERIENCE:
Prior training or work experience in health care or data processing required. Education and training in keyboarding, dictation, and medical terminology may be required.
CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:
No CPR required.
PHYSICAL DEMANDS:
Light physical effort. Typical office job. Work in comfortable positions. Flow of work intermittent and travel to offsite locations is required.
EXPOSURE CATEGORY:
Category II. Tasks that involve no exposure to blood, body fluids, or tissues.
